You can either read through this guide or click here to go to the bottom of the page to watch the recorded video walkthrough of the Contacts page.
The Contacts page is where you can view, manage, and take action on all the contact records in your system. This article will walk you through every section of the page — explaining what the buttons do, how to use filters and columns, and how to efficiently manage groups of contacts.
Searching for Contacts
Video Timestamp: 0:51
At the top of the Contacts page, you'll see a search bar that helps you quickly find a contact. This is one of the fastest ways to jump to a specific contact record if you know their name, email, or phone number.
You can enter any part of a name or email address — the system will search all contacts in your database.
Example:
Searching “John” returns all contacts with “John” in the name.
Top Menu Options
Video Timestamp: 1:33
These options give you quick access to key actions related to your contact list:
Learn: Opens help content, like this video or related articles.
Create: Add a new contact manually — perfect for one-off entries.
Export: Use this to export a list of contacts as a CSV file.
Filter Views
Video Timestamp: 2:00
Filter views allow you to see only the contacts that meet certain criteria. This is especially useful for segmenting your database into more manageable views — such as “My Contacts,” “Franchise Leads,” or “Industry: Construction.”
By default, you'll see a “My Contacts” view, which shows contacts assigned to you. If you're on a team account, you may also have access to “All Contacts” or other team-wide filters.
To use a saved filter view:
Click on any of the filter names in the left sidebar.
The page will refresh to show only contacts who meet those criteria.
You can click the star icon next to a filter to save it to your favorites for faster access from other areas of the system.
To create a new filter view:
Click “Filter Views” at the top.
Define your rules (e.g., Industry is Construction).
Click Save.
Your new view will now appear in the sidebar.
If you want to go deeper, check out our full guide to filter views for more advanced setup options.
Rows and Columns
Video Timestamp: 3:26
The Rows and Columns settings give you control over how contact data is displayed on your screen:
Rows per page: Adjust how many contacts you see at a time. Fewer rows means faster page loading.
Columns: Customize which fields you see in the table and how they are ordered.
To manage columns:
Click the “Columns” button.
You’ll see a list of fields currently displayed.
You can:
Add standard or custom fields (like “Industry” or “Last Emailed”)
Remove fields you don’t need
Drag and drop to reorder
Set your preferred sort order, like sorting by last name
This is a great way to focus on the most relevant data when browsing through your contacts.
Scoring Contacts
Video Timestamp: 5:56
Scoring helps you identify which of your contacts are most engaged with your emails and other outreach. This is especially valuable for sales and marketing teams who want to focus on hot leads.
Clicking the “Score” button ranks the visible contacts by engagement level — such as email opens or clicks — allowing you to prioritize follow-up.
Example:
If you’re viewing contacts in a “Construction” filter view, scoring helps you quickly identify which construction leads are most active.
Exporting Contacts
Video Timestamp: 6:36
Need to download a list of contacts? Use the Export button to get a CSV file of your current view.
To export:
Click “Export”
A CSV will be emailed to you containing all the contacts and fields shown on the page (plus some system fields)
Tip: If you want specific data included in the export, make sure that field is visible in your column settings before exporting.
Viewing Contact Totals
Video Timestamp: 7:13
As you use different filters, the system will display how many contacts match those rules. This count appears in the top right above your contact list and helps you understand how large your filtered segment is.
Performing Bulk Actions
Video Timestamp: 7:36
You can select one or more contacts to take bulk actions — a huge time-saver when updating or organizing large lists.
To do this:
Use the checkboxes next to each contact.
After selecting, choose an action from the toolbar that appears.
Available bulk actions include:
Create Segment From Selected: Make a new list based on the selected contacts.
Add to Existing List: Add them to a previously created list.
Add/Remove Tags: Mass update contact tags.
Update Custom Fields: Change field values for many contacts at once.
Change Owner: Reassign contacts to another user.
Delete Contacts: Remove contacts from your system.
To select all contacts (not just those visible on the first page):
Click the top checkbox to select page
Then click the blue link that appears: “Select all X contacts”
Contact Actions from the Table
Video Timestamp: 9:12
You can interact with each contact directly from the table view — without needing to open their full profile.
Available actions:
Quick View: Hover to see basic details
Edit: Click the pencil icon to make changes
Email: Click the envelope icon to send an email
Text: If texting is enabled, click the speech bubble icon
Click Name: Open the full contact profile
This makes it easy to work quickly across multiple contacts.

0:01
hello everybody my name is Drew thank
0:04
you so much for joining us today today
0:07
we're going to be talking about the
0:10
contacts page we're really just going to
0:11
focus on a single page walking you
0:13
through the interface and basically just
0:17
telling you what all of the buttons do
0:19
and how to interact with this page
0:23
so here we are we are looking at the
0:26
contacts page now some of the buttons
0:29
here have
0:31
slightly more complex functionality and
0:33
so we're going to give you a kind of a
0:35
definition of what these buttons are for
0:37
but we're not going to go too much into
0:39
the weeds of it particularly this filter
0:42
button and the score button but um but
0:45
yeah let's uh let's walk through this
0:48
pretty much just from the top down so of
0:51
course we've got a search bar here which
0:54
lets us search our contacts and by the
0:57
way too that these contacts that you see
0:58
in here on this page this is going to be
1:01
just a like one record of every single
1:04
contact that is found anywhere in your
1:08
database um and so you can search all
1:11
the contacts you've got by name by email
1:14
phone number things like that so I you
1:17
can see there's a Bugs Bunny contact
1:19
here I search for that first name Bugs
1:23
there is that contact that is then
1:27
yielded I search for gy I can see that
1:29
there are these three gems that can be
1:31
found in the
1:33
system now you got the learn button
1:35
which very well might be how you found
1:37
this video today uh for just support
1:40
resources you've got create for adding a
1:44
new contact into the
1:48
system and of course you can import
1:50
contacts as well so if you're looking to
1:52
mass import people that's the way to do
1:55
it but if you're just looking to create
1:57
one person at a time this is the way to
1:59
do it
2:00
now coming over here we see our filter
2:03
views so if you don't see the contacts
2:06
that you're looking for on this page
2:09
chance this is the first place to check
2:11
this is going to dictate what you were
2:12
seeing my contacts versus if you're on a
2:14
team you're going to see absolutely
2:16
every single person and then coming down
2:19
here you're going to see U basically any
2:21
filter views that you have and so um
2:25
we'll see in a second how you can create
2:28
a new filter view but after you've made
2:30
one you're going to see an instance of
2:31
every single filter view that you've
2:33
made right here so if we just
2:36
uh go here to say like this Mass
2:40
construction if I click on that that's
2:42
going to pull up this filter view that
2:44
is going to then only show contacts that
2:46
match those rules and we can actually
2:47
see what those rules are right here
2:49
geographical territory this contact
2:52
field is
2:53
CT and the industry is construction so
2:57
these are two custom fields that I have
2:58
in the system and this is the only
3:01
contact right now that matches
3:02
them and we've also got this star button
3:05
here which allows us to save this uh
3:09
filter view up here these starred
3:11
filters basically if I want to be able
3:13
to access it really quickly uh from
3:16
pretty much any page but let's go back
3:18
to my contacts right here and this is
3:21
going to be pretty like every single
3:22
contact that belongs to me now we've got
3:26
how many rows we want to have displayed
3:28
on the page at a time and
3:30
um with with the rows being these all
3:33
right
3:33
here in many cases people elect to have
3:37
a large number but it will just note
3:39
that will mean slower page loads so if
3:41
you want it to be a little bit faster
3:43
then go for something like 20 columns we
3:46
can dictate which columns we want to
3:48
have all displayed right here so I
3:50
encourage you to display the stuff
3:53
that's going to be most useful for you
3:54
to see at a glance when you're browsing
3:56
your contacts so we can click on columns
3:59
right here
4:01
and this is going to be a list of all
4:02
the columns that we have we can reorder
4:05
them how we please we can delete them if
4:09
they aren't useful to be displayed in
4:11
this table we can add additional
4:14
standard fields and custom Fields right
4:18
here so it's
4:21
a we were using what industry before I
4:23
believe so we can have that display
4:26
right there and then you can also decide
4:28
what how you want these things to sort
4:30
so if you want it to be sorted by like
4:33
last name maybe you can do
4:36
that so now you can see that this is
4:39
reordered I can now see this industry
4:41
column and I think that last emailed I
4:43
moved that one up
4:46
here coming over here to filter views
4:49
you might have an idea of what this is
4:50
based on what I was just describing
4:52
earlier but uh filter views are a way to
4:56
dis to to display a filtered set of your
5:00
contacts based on certain rules so um
5:04
let's see we
5:06
got construction as a industry so let's
5:09
uh let's filter for
5:13
construction if you are with a team
5:16
these are
5:19
useful
5:20
industry
5:22
is
5:24
construction
5:26
save and here we go now I can see my
5:29
four
5:30
construction contacts all listed right
5:34
here and filter views can get a little
5:37
bit complicated um search Our Help
5:39
Center for our filter view uh tutorial
5:42
that goes down in like more in more
5:45
detail about filter views and uh always
5:48
feel free to reach out to us as well if
5:50
you have any uh further questions about
5:53
creating the the proper filter views and
5:56
then scoring right here scoring is how
6:00
you can um get a get a view at your
6:04
contacts who are engaging the most with
6:08
the emails that you're sending to them
6:10
uh so this also is um a topic that can
6:16
you can go a little bit deep into it but
6:17
ultimately the punchline is you're
6:20
wondering who is engaging the most with
6:21
your content this is a great way to to
6:24
find that and so in this case I could
6:26
find I could find everybody who from
6:28
this filter View of construction people
6:31
who is engaging the most this way click
6:33
on that and then I'll see this in my
6:36
reports so we've got export right here
6:40
you click this and you'll get a CSV of
6:43
what you see right here plus maybe some
6:46
additional uh system columns as well
6:50
that'll be emailed to you and you can
6:51
download it from there and um when
6:55
you're looking to export if you want a
6:58
field you want to be gu guante that
7:00
there's a particular field that you're
7:01
going to see like one of these columns
7:03
right here just add it in these column
7:05
using this columns tool that we were
7:07
looking at before and then that way
7:09
you'll guarantee that it'll be in that
7:11
export right
7:13
there uh looking at this like we said
7:16
before this shows us if if we're
7:20
filtering for anything in particular
7:21
we're going to see it right here let's
7:24
go back to my contacts the full list you
7:27
can see uh how many contacts
7:30
total
7:31
that are being brought up by the filter
7:34
you're looking at right
7:36
there you can check these boxes to
7:39
interact with one or multiple rows here
7:43
and then you click on this to interact
7:48
with it and you know do a thing
7:50
basically so create segment from
7:52
selected this is basically how you make
7:54
a a brand new contact list from the
7:58
contacts that you've selected
8:00
add to existing list would be to add to
8:02
a contact list that you already have
8:05
this would be like if you're looking to
8:06
Market and send a mass email or mass
8:08
text to these people this is the way to
8:10
do
8:11
that add remove tags this is how you can
8:14
Mass update the tags on contacts same
8:17
goes with the custom Fields here too if
8:20
you need to mass update them change
8:22
owner if you have a team member who's
8:24
also in your account you can then add
8:27
these people to that person's uh to the
8:30
contacts that belong to them and of
8:32
course you can delete contacts this way
8:34
too one thing to note as well as you can
8:37
see we only see 20 contacts here but we
8:41
have 102 total so how do we select all
8:44
of them well you hit this box right here
8:46
to select all that are on this page see
8:48
how it says 20 selected right here but
8:51
then this popped up here so 20 items on
8:54
this page are selected click here to
8:56
select all
8:57
102 click on that now now we can see 102
9:00
are selected here so if I needed to send
9:03
all of my contacts to say like another
9:05
to another person on the team or change
9:07
the custom field value that's how you
9:09
can go about doing
9:12
that now interacting with these contacts
9:15
on this page we have some buttons right
9:17
here like quick view this allows us to
9:20
inspect the contact without leaving the
9:23
page that we're on really useful if
9:25
you're going through a whole bunch of
9:27
contacts trying to see which one is
9:28
which that's how you can do that you can
9:32
just quickly edit a contact record by
9:34
clicking on
9:37
this and you can quickly email them by
9:40
clicking on that um if you have texting
9:43
enabled in your account texting there'll
9:45
be a texting button right there as
9:48
well and now the last thing that we can
9:50
do on this page is click on the name
9:53
which will take us to the contact UM
9:57
record itself and off of the page that
10:00
we were just
10:01
on so I hope that this has been helpful
10:06
just a little quick kind of guess rapid
10:08
fire walk through of all the buttons
10:11
that you'll find on that contact uh on
10:13
the contacts page I hope this has been
10:16
helpful as always reach out to us if you
10:20
have any questions at all and I hope you
10:22
have a lovely rest of your day thank you
10:24
so much
