Texting 101: How to Send & Manage Text Messages

This guide covers how to send individual and mass text messages in VipeCloud, schedule texts, create templates, manage contact lists, and troubleshoot common texting issues.


How to Send a Quick Text Message

There are two ways to send an individual text message in VipeCloud.

Method 1: Using the Quick Actions Menu

  1. Click the plus (+) button in the upper right corner of your screen.

  2. Select Text from the Quick Actions menu.

  3. Choose a contact by searching for their name.

  4. Type your message in the text box.

  5. Click Send Text Now, or click Schedule to send it later.

Below the text box, you can also:

  • Insert emojis.

  • Add images or videos.

  • Attach files.

  • Insert a text template.

Method 2: Using the Conversations Page

  1. Navigate to Conversations in the left sidebar - click Communication>Text>Conversations

  2. Click the green plus (+) button at the bottom of the screen.

  3. Choose a contact.

  4. Type your message and click Send Text Now.


How to Send a Mass Text Message

  1. Go to Mass Texts in the left sidebar.

  2. Click New Mass Text.

  3. Select a contact list. The list must already exist - see How to Create and Manage Contact Lists below.

  4. Type your message or select a text template.

  5. Add merge tags if you want to personalize the message.

  6. Click Send Text Now.


How to Schedule a Text Message

  1. Draft an individual or mass text using the steps above.

  2. Click Schedule instead of Send.

  3. Select a date and time.

  4. Click Schedule to confirm.

Scheduled messages appear under the Scheduled Texts tab. Hover over a scheduled message to edit, reschedule, or delete it.


How to Use Merge Tags for Personalization

Merge tags insert contact-specific details, such as first name or company, into a text message.

  1. While composing a message, click the Merge Tag button.

  2. Select a tag, such as First Name or Company.

  3. Click Preview Text to see how the message will look with real contact data.

The tag is automatically replaced with the contact's information when the message is sent.


How to Create a Text Template

  1. Go to Text Templates in the left sidebar: Communication > Text > Templates

  2. Click Create.

  3. Enter a template name and draft your message.

  4. Insert merge tags, emojis, or attachments if needed.

  5. Click Create Template to save.


How to Use a Text Template

  1. While composing a text, click Choose Text Template.

  2. Select the template from the list.

  3. Review the message that populates the text box.

  4. Edit the message if needed, then send.


Can I Change How a Link Displays in a Text Message?

No. Text messages cannot display hyperlinked or custom link text - any URL you include in a text will always show as the full web address. This is a limitation of SMS as a technology, not a VipeCloud limitation, and it applies to every texting platform, not just VipeCloud.


Why Can't I Send a Text to a Contact?

  • Confirm the contact has a valid number in the Mobile Phone field. Only numbers in this field can receive texts.

  • Confirm the contact has not opted out. If a contact replied STOP, they are opted out and cannot receive texts. This shows in their contact record under Text Opt-Out.

  • If someone asks to stop receiving texts without using the STOP keyword, set Text Opt-Out to Yes on their contact record to opt them out manually.


Key Notes

  • Links in text messages always display as the full URL. Custom display text for links is not supported in SMS, regardless of platform.

  • Only numbers in the Mobile Phone field can send and receive texts.

  • A contact is automatically opted out when they reply STOP to a text.
