🧭 Overview of Search Options
There are multiple ways to search depending on what you’re looking for and how your account is structured:
The top search bar (on every page) lets you quickly search for your own contacts.
The sidebar search under the Contacts section allows you to search all contacts (if you have access).
Each object (Contacts, Accounts, Opportunities) has its own search bar and filter tools.
For advanced searches (like custom fields), use Filter Views.
🔹 Using the Top Search Bar (Your Contacts Only)

Locate the top search bar, found on nearly every page.
Type in a contact's first name, last name, email, phone number, or company name.
Results will show only contacts assigned to you.
This is ideal for individual users doing quick lookups.
If you’re a manager or admin trying to search across the account, this method will not show other users' contacts.
🔹 Using the Sidebar Contact Search (All Contacts)

In the left sidebar, click Contacts.
In the expanded menu, click Contacts again to open the full contact table.
At the top of this view, use the search bar to search by first name, last name, email, phone number, or company name.
To search across all users in a multi-user account:
Click the filter view dropdown (default is usually "My Contacts").
Select All Contacts to search across the account.
Now your search will return matches from every user’s records (permissions-dependent).
🔹 Searching Within a Filter View

In the Contacts section, choose a Filter View from the dropdown.
Example: “Feb” (short for February).
Once selected, the search bar will now indicate that it’s searching within that specific filter view.
This lets you refine results further within a pre-defined segment.
Filter Views are especially helpful for searching based on custom fields, date ranges, or other advanced criteria.

🔹 Search Field Limitations

Whether you're using the top search bar or the one inside the Contacts table, searches are limited to these fields:
First Name
Last Name
Email
Phone Number
Company Name
To search by custom fields (like tags, custom dropdowns, or text entries), you’ll need to create or use a Filter View.
🔹 Searching in Accounts and Opportunities

Go to either the Accounts or Opportunities section via the sidebar.
Each section has its own dedicated search bar at the top.
Use the search bar to locate records by name or other standard fields.
You can also use Filter Views here for refined segment-based searching.

Hello everybody. My name is Drew and we're gonna do a quick topic here today talking about how to search in your account. Uh so uh what I mean by that is you know how you can search for contacts, accounts, uh things like that that are in your account. And so if you are looking to be able to just find somebody really quickly, let's just take a look over here. So you're going to see on basically any page in ViveCloud, this search VipCloud bar up here. Uh so this is useful for quickly finding contacts that are in your account. So if we click up in here, search for the name Jerry as an example. There we go. We were able to quickly locate this contact that is named Jerry. One thing that is important to know here is that this only searches my contacts. In other words, the contacts that belong to you. So, if you're in a multi-user account, let's say you're a manager and you're looking to search for contacts that might belong to one of your employees, you're you're not going to find it there unless that contact happens to belong to you.

So over here in the sidebar, click on contacts. Then click on contacts again in that little sidebar that opens up. Now we are able to see a search bar that is specifically for searching contacts. And then here's where you can search beyond. So just to reiterate that bar at the very very top that's just for searching stuff that belongs to you. But down here we able to go to contacts and we can broaden out our search or narrow it down too uh however you need to do it. So where I first want you to pay attention is this drop down here for your various filter views here. We can direct our searching in a more specified way. So you click on my contacts in this case because my contacts is what's already selected and then I can select all contacts. So now I am going to be searching for contacts that are across the account. Again, if you're a single user in an account or you're like a member level user, you don't really need to worry about this.

This is just for admins basically if you need to worry about searching across uh multiple users. So then you would just go up in here and we can search for a contact um and then and they will pop up if they exist. Also you are able to search for contacts based on various filter views. So if there is a filter view where I want to then search within that filter view for different contacts then I'm able to do that. See how I I chose this filter view called Feb, like short for February. And then up here in the search bar, it says search Feb. So, I'm searching just within this filter view. So, makes it easy to look for contacts within a uh within a limited parameter. Something if you're searching for contacts, something that you might want to be aware of are filter views. And I'm going to link to the filter view help article in this article when it's published so that you can easily find that because if you're looking for just a segment of contacts that match certain criteria, then filter views are what you're looking for.

Something that you also might want to be aware of is that when you are searching for contacts, only certain fields are going to be searched. So that's going to be first name, last name, email, phone number, and company name. So if you're looking for all the contacts again like that match a more specific criteria or if you're looking for contacts that are like maybe Yeah. that that have a spe a certain custom field value. You're going to want to turn to your filter views for search for doing that kind of a search. Additionally, you're able to do all of these kinds of searches within uh accounts and opportunities. So, you can see when I click on accounts, there's a search bar here just for accounts as well as filters. And the same is also true here for opportunities. So if you're wanting to search those different kinds of objects first, go to the table where those objects can be found and then you'll find a search bar as well as a filter option within there as well.
