The Columns panel controls which columns appear in your table, their order and how the table is sorted. Admins can also save a column layout as a column view and share it with the team. Columns are available on the Contacts, Accounts, Opportunities (table view only) and Task List pages. Click Columns in the toolbar above the table to open the Change Columns panel.
How to Add, Remove, or Reorder Columns
In the Change Columns panel, you can make any of these changes, in any order:
Add a column - choose a field from the Add Standard Field or Add Custom Field dropdown
Remove a column - click the trash icon beside it under Reorder or remove columns
Reorder columns - drag a column up or down by its handle
Click Ok when you're done. The page reloads with your changes. These are your own columns and only you see them.
How to Sort the Table
Sort Column and Sort Direction are near the bottom of the Change Columns panel. Choose the column to sort by and whether it sorts ascending or descending, then click Ok.
How to Change Row Spacing
Row spacing controls how much space each row takes up. Click the row spacing button, the icon just to the right of Columns, and choose Comfortable or Compact. A checkmark shows the current setting.
How to Switch to a Shared Column View
Column views are layouts an Admin has saved and shared. Any user can switch to a view shared with them.
Click Columns in the toolbar above the table.
Select a view from the Column view dropdown at the top of the panel.
Click Ok.
The Column view dropdown includes:
My columns - your own personal columns
Default - the default view that applies to you, or the standard columns if no default has been set
Each view shared with you, by name
If no views have been shared yet, you'll only see My columns and Default (standard columns).
When you follow a shared view or the default, your table updates automatically if an Admin changes that view. To go back to your own columns, select My columns and click Ok. Your earlier columns are restored.
What Happens If I Change the Columns on a Shared View?
If you're not an Admin, changing the columns, sort or order while following a shared view turns those changes into your own columns. The dropdown switches to My columns, and clicking Ok saves your personal copy. After that, changes the Admin makes to the shared view no longer reach you.
To follow the shared view again, select it from the Column view dropdown and click Ok.
How to Save and Share a Column View
Only Admins can create shared column views. The Share these columns section does not appear for other users.
First, set up the columns and sort in the Change Columns panel the way you want to share them. Then:
Under Share these columns, enter a View name.
Under Who can use this view, choose who can use it.
Click Save view.
To make the view the default for the people you shared it with, check Make this the default for them before clicking Save view.
The page reloads, and your own table switches to the view you saved.
A view saves the columns, their order, the sort column and the sort direction. It does not save filters, rows per page, row spacing or the My/All tab. To share filters, see Filter View Sharing.
How to Choose Who Can Use a Column View
The Who can use this view setting is under Share these columns.
Everyone in the account - every user can select the view.
Specific teams & people - only the teams and users you choose can select it. Pick teams, individual people or both. Anyone named directly, or on a selected team, gets access. You must choose at least one.
Only me - only you can select it. Other Admins can still see, edit and delete views set to Only me.
If someone is removed from a team, they lose access to that team's views the next time the page loads.
How to Make a Column View the Default for Your Team
When Make this the default for them is checked, the view becomes the default for the people it's shared with, but only if they haven't set up their own columns.
Users who have already customized their columns keep them. They can switch to the default at any time from the Column view dropdown.
If more than one default applies to the same user, the most specific one wins. A view shared with them by name beats one shared with their team, which beats one shared with everyone. If two are equally specific, the most recently updated one wins.
Admins only get a team default if they're on that team.
How to Update or Delete a Shared Column View
Any Admin can edit or delete any shared view, not just the Admin who created it.
To update a view:
Select the view from the Column view dropdown.
Make your changes to the columns or sort.
Under Share these columns, choose to update the existing view or Save as a new view to create a copy. The update option shows the view's name, for example Update "Contacts with email".
Click Save view.
To delete a view, select it from the Column view dropdown, click Delete view, and confirm. Anyone following that view goes back to their default columns.
If a custom field used in a view is deleted, that column is removed from every view automatically.
Why Don't I See the Share These Columns Section?
You're not an Admin. Only Admins can create and share column views. Everyone else can still select views shared with them.
You're on a page that doesn't support column views. Sharing is only available on Contacts, Accounts, Opportunities and Task List.
You're on Opportunities in board or card view. The Columns button only appears in table view.
