Inbox Sync can connect more than one mailbox to a single VipeCloud user, such as a personal address and a shared sales address. Each mailbox keeps its own sync settings and parsing rules, and you choose which mailbox each email sends from.
How to Get More Than One Mailbox
Every user's first mailbox is included. Additional mailboxes are a paid add-on called Additional Inbox Sync Accounts. An Admin purchases them for the account and then assigns them to users.
Multiple mailboxes must be turned on for your account first. If the Additional Inbox Sync Accounts card does not appear on your Billing page, contact VipeCloud support.
Click Settings.
Click Billing.
On the Additional Inbox Sync Accounts card, click Purchase.
Enter the number of mailboxes to add and confirm the purchase.
Click Assign to Users.
Enter a number in Extra mailboxes for each user who needs one.
Click Save on that user's row.
The card shows how many purchased mailboxes are assigned, for example "2 of 3 assigned." A user with 2 extra mailboxes can connect 3 mailboxes in total.
How to Connect Another Mailbox
Click Communication in the left sidebar.
Click Inbox Sync.
Click Connect Another Mailbox.
Sign in to the new mailbox with Google, Microsoft, or IMAP.
Use an incognito browser window so your browser does not sign you back into the mailbox you already connected.
Each connected mailbox appears as its own card on the Inbox Sync page, with its own sync status, routing toggles, and Parsing Rules button. See Setting Up Inbox Sync for what each setting does.
If Connect Another Mailbox is missing, you have connected every mailbox assigned to you. A message appears in its place - Admins are pointed to Billing, and other users are asked to contact their Admin.
How to Choose Which Mailbox Sends an Email
When you have two or more mailboxes connected, a Send from mailbox dropdown appears in the email composer and on the Send an Email page.
Open the email composer, or open the Send an Email page for a campaign.
Select an address in Send from mailbox.
Send or schedule the email as usual.
Default - The dropdown starts on your primary mailbox, which is the first mailbox you connected.
Replies - A reply always sends from the mailbox that received the original email.
Scheduled emails - Keep the mailbox you chose when you scheduled them.
Parsing rule automations - Emails sent by a parsing rule's automations and series go out from the mailbox that received the parsed email.
Contact Sending Identity - Set a contact's Sending Identity on the contact record, or use Set Sending Identity on the Contacts table for many contacts, and the composer pre-selects that address for them.
How to View Email by Mailbox
The Emails Inbox shows a tab for each connected mailbox once you have two or more.
Click Emails.
Click Inbox.
Click All inboxes to see every mailbox together, or click a mailbox tab to see only that mailbox.
Mailbox tabs - Up to six show, starred mailboxes first and then the ones you used most recently.
All mailboxes - Opens a searchable list of every connected mailbox, where you can star the ones to keep as tabs.
Manage Inbox Sync - Opens the Inbox Sync page.
Key Notes
An email sent from a chosen mailbox never switches to another address. If that mailbox cannot send, the email stops instead of going out from a different mailbox.
If a mailbox disconnects, click Reconnect on its card. Reconnecting the same address restores its parsing rules, email history, and settings, and does not use another mailbox from your allowance.
Each mailbox can have its own signature. On the Email Settings page, the Email Signature card has a tab for each sending address. See the Email Settings Page Walkthrough.
AI Review Inbox reviews only your primary mailbox until you add others under Inboxes to review. See How to Use AI Review Inbox.
Mass emails and Launched Series show a From badge with the address each send used, and the Contacts table has Sending Identity and Lead Mailbox columns and filters.
