Sending Individual Emails

There are a few ways to send individual (1:1) emails in VipeCloud - we'll run through a couple of the most common ways here. Once you've initiated the send and have the send email modal open, the process will be the same.

Ways to initiate an individual email send

From the Quick Adds button

Click the + button in the black navigation bar and click the Email button.

From a data table

When looking at just about any data table that's showing contacts, you'll see an email button next to the contact. This will open an email modal with the contact's email prepopulated.

From a contact record

When looking at a contact record, you'll find an email button above their recent activity which will open an email modal with the contact's email prepopulated.

Once the modal is open, you can draft a quick email using the rich text editor.

You also have the choice of selecting an email template which you can send as-is or you can also edit it prior to sending. Note that any changes you make won't alter the saved template itself.

You are also able to click "send test to yourself" to review the template before sending and you can also schedule the email to be sent later.

Sending individual emails in VipeCloud vs your synced email inbox

If you have your email inbox synced, then your individual emails will appear on the contact record of contacts who are in VipeCloud. So this raises the question of when one should send emails from their regular email system like Google Workspace or Office 365?

Emails sent from VipeCloud will be trackable, which means you'll gain insights into email opens and link clicks. This won't be the case when sending emails from your regular email system.

We generally recommend sending individual emails from VipeCloud when early in the sales cycle and there's a little less trust that the contact will be opening emails and clicking links. For your more day-to-day and operational emails, it might make more sense to send those from your regular email system.

For emails that could benefit from using templates, VipeCloud will be the clear winner and can save you a lot of time.

Group Email vs Individual Emails (Mass Email)

When drafting an individual email and adding more than one contact as a recipient, you will see an option for how the email can be sent: Group Email or Individual Emails (Mass Email).

Group Email

In this case, Group Email is the same thing as putting multiple emails in the TO section. It will be sent as a group email where all of the recipients will see everyone else the email was sent to.

It's important to note here that when doing this you need to be careful with your usage of merge tags. In nearly all cases you will NOT want to have a %FIRST_NAME% merge tag because our system can not individualize the email to all of the TOs because it is the same email being sent to all recipients. Our system will merge the info for the first contact.

Individual Emails (Mass Email)

This is simply an easy way to send a mass email. If you don't want all of the recipients to see everyone else who is receiving this email and to have the merge tags individualized for all of the recipients, this is the way to go.

Because this is a mass email, it does mean that the email is required to have a mass email footer in it and thus will have an unsubscribe button, your address etc.
