How To Connect Your Inbox

Connecting your inbox creates a two-way sync between your email provider and your account so sent and received emails show up in both places. Inbox sync is required for email parsing to work.
What Inbox Sync Does

Two-way visibility - Emails sent from your account appear in your external Sent folder. Emails sent from Gmail or Outlook appear on the contact record.
Eliminates silos - Keep your conversation history in one place across providers.
Prerequisite for parsing - Email parsing depends on an active inbox sync.
Where To Start

In the sidebar, click Communication.
Click Inbox Sync.
If you are already connected, you will see your current status. You can disconnect to walk through setup, if needed.
Connect With Google Workspace or Office 365 (OAuth)

Click Connect Your Exchange To VipeCloud.
Choose Continue with Google or Continue with Microsoft.
Sign in with your normal credentials.
On success, you will be returned to Inbox Sync Settings. Authentication uses OAuth.
Notes:
If you already have an active Google or Microsoft session in your browser, the connection may complete immediately.
If prompted, complete the provider login to finish.
Connect With Another Provider Using IMAP

Choose IMAP instead of Google or Microsoft.
Enter your IMAP server, port, security setting, and your username/password.
Click Connect.
Tip: Your IMAP details are likely available from your email host’s support documentation or upon request from their support.
Confirm Your Sync Is Active

On return to the settings page, check Sync Status: Running.
If it shows Running, setup is complete and no further action is required.
Configure Routing And Sync Options

Individual emails routing - Choose whether one-to-one emails send through your connected Exchange or VipeCloud servers. Most users send through their Exchange so messages also appear in the external Sent folder.
Mass emails routing - Recommended to send through VipeCloud servers. Providers like Google Workspace and Office 365 discourage high-volume sending through their systems and sending bulk via your Exchange can clutter your Sent folder.
Inbound email sync - Toggle whether inbound messages are synced into your account.
Attribute inbound as contact activity - Toggle whether synced inbound emails are automatically logged on the contact timeline.
After changes, click Update Inbound Sync Settings to save.
Refresh Or Disconnect The Sync

Disconnect - Click the trash can icon, then confirm.
Refresh / Reauthenticate - If your sync stops running or a provider (often Microsoft) expires the session, click the trash can icon to remove, then reconnect using the steps above.
Troubleshooting Tips

If Sync Status is not Running, disconnect and reconnect.
For IMAP, recheck server, port, and security values from your email host’s docs.
If Microsoft prompts for new consent periodically, reauthenticate using the trash can icon, then connect again.

0:01 Have you ever wanted all of your e-mail activity that automatically show up in your CRM? Well, today we're gonna cover how you're able to connect your inbox into Viqlals so that your e-mails will sync seamlessly with your account. 0:18 And so this allows a two-way communication where e-mails that are sent from Viqlals will appear in your sent folder, uh, like in your Google Workspace Office 365. 0:29 and the emails that you send from over there will appear in by cloud as well. So, great way to avoid data silos and see your community. 0:40 So, I'm wherever you are looking for. And so, like I said, this works with Google Workspace Office 365 and any e-mail provider that supports I-M. 0:53 So, let's show how to do this. So, first of all, in your sidebar, you're gonna be going to communication. And then you're gonna go down in that file. 1:10 side bar or in the menu to inbox sync. As you can see, this is what it looks like when you are actually connected. 1:22 But, I'm going to disconnect this inbox so that we can walk through the connecting process together. Alright, so, you're gonna click on connect your exchange to Vipelub. 1:40 And then you're gonna choose, if you have Google or Microsoft, you can choose that right here. If you don't have an active session in either of these, then you're gonna and another option will appear to select an IMF. 2:03 So, uhm, because I have an active session in my, uh, in my account, it just simply connected me. But, if you, uh, if you do need to log in in that browser, it'll just simply be, if you're doing Google or Microsoft, it'll just be logging in. 2:22 That's it. Uh, OAuth is the method, and it's really simple. Now, if you have an, uh, another email provider that is not Google or Microsoft, and you need to, uh, connected via IMAP, you might need to check their support resources. 2:41 To find out what the, uh, what the, what their specs are for IMAP, and you'll just find out giving it a port and some other, uh, some other code that I have been able to get off the top of my head, but it's, uh, it's a pretty straightforward process that I'm sure that it'll be able to help you with. 3:01 Now, to walk through what we see here, now, first of all, I don't need to do anything else to, uh, to make the to successfully set up inbox sync. 3:14 What you can see right here is it says sync status is running so we are good to go. So, , Now, walking through these settings, these top two options are how you can control how emails are routed in by 12. 3:31 Now, most users will not need to change anything at all, so if you're most users, you can just move on through day. 3:38 But you can, um, decide whether or not individual emails are going to be sent through, uh, your exchange, like, in this case, we set up Microsoft. 3:49 It's gonna go through your exchange servers or if it's going to go through VibeClouds servers, in most cases individual emails you want to have go through your exchange servers so that you can see them in, um, in the sent folder over there. 4:08 Now, mass emails, we generally want those to go through VibeClouds servers because VibeClouds servers are actually configured for sending mass emails and most services like Google Workspace or Office 365 really prefer their users don't send bulk messages through their exchange. 4:29 Also, it'll clog up your scent folder as well, so making it harder to find any emails are looking for in your scent folder. 4:39 So generally you want to send mass emails through VibeClouds servers. Lastly, we're able to decide whether or not inbound emails like e-mails are going to your exchange will be also synced into VibeCloud. 4:53 Most users do actually want that but you can optionally turn that off and then also you can decide whether or not e-mails that are inbound will be attributed as contact activity. 5:06 If you make any changes here, click on the update inbound. If sync settings to save them. And then also, like you saw me do at the beginning of this, you can disconnect your inbox sync by clicking on that trash can and then hitting the confirm button. 5:22 Occasionally, you might be to refresh your sync because especially Microsoft is guilty of this. Occasionally Microsoft will, umm, make you reauthenticate and you can reauthenticate by clicking on that trash can and then re-logging in like you just saw me do. 5:42 Great, so I hope that this, uh, that this helps reach out to us if you have any questions.
