Updating Profile Pictures
Timestamp: 0:16 - 2:25
Before creating a digital business card, make sure each user has a high-quality profile picture uploaded.
Recent updates (as of November 11, 2025) added support for two profile picture formats in the system:
Photo URL – smaller image (150x150 pixels), ideal for signatures or compact displays
Full Size Photo URL – full resolution of the image you upload, recommended for digital business cards
Steps:
Go to the bottom-left corner of your screen and click Settings.
Open Basic Information for the user.
Under Profile Picture, click Upload and add a high-quality image.
Recommended minimum width: 600 pixels
Use a clear, professional headshot for best results
Save your changes.
If the user’s profile was created before November 11, 2025, you’ll need to re-upload their photo to enable both image formats so you can use the photo merge tags.
Reviewing User Information
Timestamp: 2:25 - 3:03
While in Basic Information, review and update any fields that will appear on the digital business card, such as:
Website
Phone number
Social media links
Job title
Keeping this data up to date ensures the merge tags you use later will display accurate information.
Creating a Digital Business Card Template
Timestamp: 3:22 - 4:00
Digital business cards are created as Email Template Landing Pages using the HTML Builder.
Steps:
Navigate to Communication → Email Templates.
Click Create Template.
Enable Template Landing Page.
Choose the HTML Builder option.
This allows you to design a standalone landing page that can act as a shareable digital business card for each user.
Inserting the Profile Picture Merge Tag
Timestamp: 4:00 - 7:46
To automatically load each user’s profile picture, you’ll need to use a merge tag.
Steps:
In the builder, drag in an Image block.
Add any placeholder image temporarily.
Open the Code Editor (found above the editor).
Locate the image source (the text that starts with
src="...").Replace the contents between the quotes with one of the following merge tags:
Full Size Photo URL: %YOUR_FULL_SIZE_PHOTO_URL%
Small Photo URL: %YOUR_PHOTO_URL%
Exit the Code Editor.
It’s expected for the image to appear broken in the editor view. To confirm your work:
Click Save and Preview Landing Page.
The correct user image should display once the landing page loads.
Tip: In most cases, use the Full Size Photo URL to ensure better image quality for business cards.
Formatting the Image and Layout
Timestamp: 8:07 - 8:55
Once your image displays properly:
Click the image block to open formatting options.
Hyperlink it to a website or scheduler if desired.
Adjust the width to make it full-width.
Remove padding if you want the image to fill the section edge-to-edge.
Delete any unnecessary stripes or spacing to create a clean layout.
Adding Contact Details
Timestamp: 9:10 - 9:40
Below your image, you can merge in additional user information to complete the digital business card.
Steps:
Insert a Text block under the image.
Search merge tags for “Your” to locate tags like:
%YOUR_WEBSITE%
%YOUR_MOBILE_PHONE%
%YOUR_TITLE%
Add, format, and style these details as desired.

00:01 Hello everybody. We're gonna talk quickly about how to make digital business cards from the standpoint of an account administrator who is doing this for a large number of users.
00:16 So, these are going to be, um, created as email template landing pages. And, um, the first thing you're going to want to bear in mind is that, uh, the the images like for the for the profile pictures of the user who's going to be having like, like, using it via, the digital business card.
00:44 You're gonna need to, in most cases, upload a new profile picture. Or at least re-upload a profile picture for that user.
00:55 Um, we've had a update about a week ago. Today is November 11th 2025. Um, that allows a profile picture to be stored in two different ways.
01:10 formats, at least on our database of a small picture, and then also a full-size picture. And in most cases, it's this full-size picture.
01:20 You're gonna want to be using in your digital business card, and you'll, in order to be able to use that, you're gonna need to re-upload your image.
01:30 Um, so it's only accounts after, uh, today. Or set up after today that might, that won't mean to, uh, re-upload their profile pictures.
01:42 So, you're going to be able to do that by heading to that user's settings in the bottom left. and let's see.
01:52 So settings, basic information and make this smaller. And, and then you can head over here to profile picture, upload, and you'll be all set.
02:10 Now, we recommend, like, high-quality pictures where possible here. So, um, you're gonna want something, it's recommended to have a picture that is 600 pixels width minimum.
02:25 Because after all, 600 pixels is, is the tip, is the difference. fault with our email template builder. So yes, you're going to want to upload high quality pictures and also all your looking at the user, the basic information for the user.
02:46 It's this, it's in this basic information where you might be also pulling a lot of other information for these digital business cards.
02:54 So, give it a, give it a go, or give it a look over. Um, you might be using their website for instance, or their social media, or their phone.
03:03 So, anything that you're going to be pulling into that digital business card, make sure it's up to date. So, next, let's go take a look at the builder and how it's able to, how to create one of these.
03:22 So, we're going to go to the communication tab, email templates, create a new template, enable template landing page, and a HTML builder.
03:43 So, I'm not going to go too much into detail for all of of ins and outs of making a digital business card, but I'm going to show you the important important parts that are particular to Vibe Cloud.
04:00 So, first of all, you want to be able to get your image in there. Umm, and also, you're going to need merge tag for that image, for that, for that profile picture that we were just updating.
04:15 So, what I'd recommend actually is just creating a text block here, and get those merge tags, like written down so you can just easily copy and paste them.
04:26 So, you're going to find them under the merge tags. search for photo and under your user information you'll see the two merge tags.
04:40 That will merge in their profile picture. You've got your photo URL, and you've got your full size photo URL.
04:54 Umm, now, remember how I was talking about how when you upload a profile picture into Vibe Cloud, it stores two different versions of that.
05:03 And that's what these reference. So, same image, different resolutions. So, we've got your photo URL. URL, which is think like a miniature photo profile picture.
05:16 Like, if something that you'd use for an email signature. Like, kind of, It's small. It's, uh, 150 pixels by 150 pixels is the, uh, is the proportions, the resolution of that photo.
05:31 And your full size is full size. So, whatever, like, exactly the quality that you uploaded. Which will, again, hopefully be at least 600 pixels in width.
05:46 So, in, by the way, in most cases, you're probably gonna be using it. this full-size photo you were on. So now let's merge in this image.
05:57 What you're going to want to do to do that is drive over an image block. Click on it. Uh, now here's the counterintuitive thing.
06:10 You're just gonna add any old image. It doesn't matter what it is. Uhm, you're going to copy the merge tag for the, uh, for the profile picture.
06:27 Click on the image. click on code editor above the editor and this will show the HTML for this image and what you're going to do is get, you're, you're gonna replace the, uh, the image URL, the source, not including the, you see how I left the, the, uh, the, the quotes, um, not highlighted.
07:06 So I now want to just have, like, SRC equals, quote, cursor, quote, and then I'm going to paste in the URL, all right, sorry, the, the merge.
07:20 Tag your full size photo URL. So you want exactly what I'm showing here and, uh, get rid of the code editor and it's also fine and expected actually to have this effect right here of, in the HTML builder seeing a broken image.
07:46 So let's, let's check our work. And we're going to go to that Save and Preview landing page. I'm going to click on that.
07:55 And there we go. It loaded in that image, like the profile. about. So you can check your work, make sure you're doing it correctly by checking that out.
08:07 Umm. So a couple of other things that you might want to consider doing with this image block right here. It's clicking on it.
08:19 Um, you can hyperlink it. You can do things like adjust to width to make it. The full width. and some images will have padding on them to kind of like create a margin around it.
08:37 You can turn that off to again like make it nice and pull size. Uh, oh, and you can, like this, this stripe right here, the structure will, umm, it won't display anything but it will kind of just like create a little bit of headroom, a little bit of space.
08:55 You can just get rid of that by hovering over here and getting that trash can. Umm. You can of course also just, you know, get rid of the merge tags that you inserted down below earlier.
09:10 and now you can get to work adding to the digital business card under this merge tags if you search for your, you will see, like, like this will be your, like your clients information, like their website or their phone number, uhh, your title, things like that.
09:40 So, those you'll probably be using quite a bit here. And, let's see. Um, yeah. I think that's really pretty much it in this help article.
09:58 Again, I'm going to include some additional information, like, just guidelines here. But, um, but yeah, that should do, uh, that should just about do it.
10:11 Um, let us know if you have any questions. Thanks so much.
