0:03

hello and welcome to the live stream uh

0:06

my name is Drew and I work here in

0:09

customer success at vibecloud and today

0:11

we're going to talk about our Rich text

0:14

email templates and so the format here

0:18

is just that I'm going to give a quick

0:21

definition of what Rich Text templates

0:23

are by the way they're commonly referred

0:25

to as

0:26

RTE and then we'll be doing a demo to

0:30

show you how to use these rich text

0:32

templates and then at the end we're

0:34

going to be doing a Q&A and so feel free

0:39

to send in your questions throughout

0:42

this live stream you can send them in at

0:44

any time through our suite in the in the

0:47

comment section there or in the chat

0:49

also feel free to send them in if you're

0:51

watching on YouTube in the chat there

0:54

and we're going to answer those at the

0:56

very end of this this live stream but no

1:00

need to wait to send those in though and

1:03

um yeah so just to kind of Define what

1:06

we're talking about here what the

1:08

premise is is that uh in VIP Cloud we

1:10

have two different email template

1:13

Builder types and one is the HTML

1:18

Builder which is what you use for

1:21

creating colorful uh designed templates

1:25

so as a consumer these are the kinds of

1:27

templates that you might receive from

1:29

from any of the places that you do

1:31

business with like any e-commerce

1:32

platforms their newsletters are probably

1:34

in this kind of very colorful

1:37

image-based

1:38

design uh now a rich text template is

1:41

more like something that you would make

1:43

in your personal like Gmail or Outlook

1:46

something that's very text first and

1:50

that's what this is and so it's going to

1:52

be a very text first template but you

1:54

can also put images through bipl you can

1:58

put in video emails there

2:00

and you can also uh put in attachments

2:03

or links

2:05

too and so these are primarily used for

2:10

yeah like your operational kinds of

2:11

emails and these can be sent as mass

2:15

emails and they can also be sent as

2:18

individual emails to people too and so

2:21

this will save you from where you might

2:23

be doing a lot of copy and paste you can

2:24

just make a template and use it going

2:27

forward and these can be used for your

2:30

drip campaigns too so just to give you a

2:33

couple more practical ideas of where

2:35

these are used uh these might be used in

2:38

sales situations like intro emails

2:41

meeting reminders thank yous uh product

2:44

pricing detail Pages follow-up emails

2:47

and also any automatic email that you

2:50

want to have just feel like it was

2:53

personally written by you this is a

2:55

great uh use case for this kind of a

2:58

template

3:00

so let's dive into the demo portion here

3:03

and take a look at what um like how you

3:07

can use these rich text email

3:11

templates so logged into VIP Cloud here

3:15

you will want to go to

3:17

your uh to your

3:19

emails and then

3:23

templates and now we're going to make

3:25

one from scratch by going to the create

3:29

button

3:32

and you can give it an internal

3:33

reference title your customers will not

3:35

be seeing

3:37

this

3:43

so and

3:44

then you can give it a subject line this

3:48

is what people will be seeing and just

3:50

note as well that what you put in

3:53

here can be edited later so it's okay if

3:57

you don't have a perfect subject line

3:59

when your first making your

4:02

template template landing pages are

4:04

rarely used for Rich Text uh templates

4:07

so you can honestly ignore that and then

4:09

here you can see what I was referencing

4:11

earlier how you've got uh our two

4:14

Builder types here the HTML type Builder

4:18

and then got our Rich text right

4:23

here all right and so now we are looking

4:26

at the editor

4:28

itself and you're going to see a whole

4:30

bunch of options up here and um let's go

4:34

through some of these most frequently

4:36

used ones like if you want to insert an

4:39

attachment as a trackable Link in your

4:42

template all you need to do is first put

4:44

the cursor where you want it to go and

4:48

then you can click on the

4:49

button and you'll see all of the stuff

4:52

that you've already uploaded into your

4:54

account and you can click on the add

4:57

content button to browse your computer

5:00

for any new files you want to insert and

5:04

when you're inserting an

5:05

attachment as a link in your in your

5:09

email template you can kind of think of

5:11

it as like a Dropbox or Google Drive

5:13

link that you might be sharing with

5:14

people it's the link itself that people

5:16

can click on to download the

5:19

attachment inserting images it works

5:22

very similar you just simply put the

5:23

cursor where you want to where you want

5:25

the image to be added click on the

5:28

button and then you can either browse

5:30

your existing images or upload a new one

5:34

same goes for inserting videos so videos

5:37

here uh you can send video email through

5:39

vibecloud it's a great way to make a

5:41

personal connection through an email

5:43

that you send to

5:45

somebody and we' got merge tags now this

5:48

is very commonly used in fact you can

5:50

even see an example of a merge tag right

5:52

here and so this is going

5:55

to merge in the recipients in this case

5:59

first name so you send a mass email you

6:01

can greet Everybody by their first name

6:04

and when we click on this you can see

6:07

that pretty much any contact information

6:09

you might be looking for you can find it

6:12

here first name company name job title

6:15

these are all going to be very commonly

6:17

used fields that will be merged into the

6:20

template wherever you put in that

6:23

tag and also you can merge in your own

6:26

user information this is especially

6:28

useful for teams that where you might

6:31

share a a template and then you can have

6:35

uh everybody in there just have their

6:37

their own you they can introduce

6:38

themselves by name or their title of the

6:41

company and they don't have to edit this

6:44

template

6:45

themselves also very commonly used is

6:48

this signature merge tag which if you

6:51

put in there that'll actually grab

6:53

whatever your latest signature is that

6:55

you've got built into your user settings

6:58

it'll just pull that into this template

7:00

and so that way you have a big library

7:02

of email templates you don't have to

7:05

update every single template just

7:07

because you updated your signature

7:09

because if we look here we can see my

7:11

signature was uh automatically added to

7:14

this

7:15

template uh in many cases I recommend

7:17

just putting in a signature merge tag

7:19

and that way your email will your your

7:22

library of emails will all be updated

7:25

automatically and I'll show you how you

7:26

can do that in a second

7:30

so uh when you're making a a a template

7:33

in here obviously this is just like

7:35

pretty much uh drafting a Word

7:39

document um and in most cases I

7:41

recommend that you just draft your

7:44

templates in Cloud wherever

7:47

possible now if you are not able to do

7:50

that like maybe you have a whole host of

7:53

Word documents that you have built

7:57

outside and you just want to copy and

7:59

paste them into this into vcloud to make

8:01

templates out of it um first of all I

8:05

would say I recommend not doing that if

8:06

you can avoid it but if you really uh

8:09

need to copy and paste I'm going to show

8:12

you how I would recommend going about

8:14

doing that and

8:16

so I have a template here that I've

8:20

drafted in Microsoft Word and I'm going

8:23

to just highlight everything and copy it

8:24

over here so I know I'm doing that off

8:27

screen here but I just highlighted

8:32

the I've highlighted all the text in my

8:34

word document and now I'm going to right

8:37

click and paste as plain

8:40

text into this template here and again

8:44

just do it

8:45

slowly I right clicked and then it says

8:48

paste as plain text in the little box

8:51

that pops open and you use that it might

8:55

also say paste and merge formatting you

8:58

want to do that so that you can avoid

9:02

any of the Hidden markup is what it's

9:04

called that copies over from a place

9:08

like word and what that does is it has a

9:12

formatting that can just break things

9:14

and make the formatting of your template

9:16

really ugly and so this way we avoid all

9:20

of that and we do lose the formatting of

9:24

this

9:25

template but it's going in the end this

9:29

will

9:30

actually have a Time Savings for you and

9:33

so now all you need to do is just add

9:36

some of the formatting like paragraph

9:38

spaces or Bolding things along those

9:41

lines so in this case I can put in the

9:44

merge tag for first name and I'm not

9:47

going to go through this whole template

9:49

but by just going around and adding some

9:52

of these line spaces we're able to

9:55

pretty

9:56

quickly get our template looking

9:59

decently

10:01

usable and at the very bottom here you

10:03

can see an example of that signature

10:05

merge tag this is what I'm talking about

10:08

and that will when you when you hit send

10:09

that will merge in your signature so I'm

10:13

going to hit save email template we're

10:15

going to pretend this template is good

10:16

to go

10:17

now and I'm just going to show you how

10:20

you can send this template as a mass

10:23

email as well as to an individual

10:27

contact so for the for the mass email we

10:31

can just start from right here we got

10:32

our email templates I'm going to hover

10:34

over the

10:36

template and I'm going to hit send you

10:39

can see you got an option here send a

10:40

contact or send a contact lists if it's

10:43

a mass email it's going to be going to a

10:45

contact

10:46

list we're going to choose our contact

10:50

list preview

10:53

send and here we

10:56

go so we've got our template already

11:00

drafted in here you're able to tweak

11:03

these templates on the Fly too so if you

11:05

have you want to kind of personalize it

11:07

to the uh to the occasion you're able to

11:09

do that right here just note that this

11:11

will not change the template itself so

11:14

changes you make here will only be saved

11:15

for this particular send not for future

11:19

ones and then you're able to go but we

11:22

always recommend sending a test to

11:24

yourself of course and once you've

11:26

confirmed it looks good then you can

11:27

send it as a mass email

11:30

now if I'm going to be sending this to a

11:33

contact let's just search for the

11:35

contact First we're going to look for

11:36

our

11:37

friend uh Bugs Bunny

11:41

here got our contact we're going to

11:44

click into the contact

11:45

record and I'm going to hit

11:50

email and I can find it by searching for

11:55

the email templates here we go our

11:57

agency welcome email

12:00

and now we're able to load up this

12:01

template and again if I want

12:09

to I want to personalize it I can edit

12:12

it on the

12:14

Fly and I can schedule it or send it

12:17

right

12:20

now all right and I would say that

12:23

pretty

12:26

much those are those are the basics I

12:28

would say for using Rich Text templates

12:33

now I just want to see if uh if there

12:35

are any questions so uh Adam were there

12:39

any

12:40

questions hey there great work yeah we

12:42

have a couple questions here um the

12:46

first one let

12:47

me show it as a banner um Can these rich

12:51

text templates be shared with teams and

12:55

whatnot like HTML

12:57

templates yes they can and so templates

13:01

are email templates are templates so

13:03

they actually the sharing side of it all

13:06

works the same and I'll just quickly

13:10

demonstrate what that would look like

13:12

so we go here to

13:16

templates and I select that and I can go

13:21

from here and share with team so and

13:24

this could even be uh you know you could

13:26

you could share like a folder that might

13:28

have HTML as well as Rich Text templates

13:31

in

13:32

there and then your users who you share

13:35

it with will find it under shared with

13:37

me and in that sense it works exactly

13:39

like your Rich Text uh or your your HTML

13:43

templates perfect perfect very good one

13:46

only one other question here and that

13:49

is uh can I paste an image into a red a

13:53

rich text

13:55

template yeah so um definitely

13:58

definitely recommend not doing that so U

14:02

that will in fact break the template

14:04

itself so if you are going to be putting

14:06

and actually by the way I was talking

14:08

earlier about how you can copy from a

14:10

Word document over into uh viip cloud

14:14

and if you you need to be careful that

14:16

there are definitely no images when

14:18

you're doing that and it's only text

14:19

that you're copying over um and so yeah

14:23

if you're going to be inserting an image

14:25

the way that you do that is by is always

14:28

by using this insert image button right

14:31

there and you just make sure the cursor

14:33

is where you want it to where you want

14:35

the image to go you click on that button

14:38

and that you paste in this the image

14:42

like so and then that way the images

14:45

will indeed work so yeah always gota be

14:48

careful to not to uh do that

14:51

correctly yeah we've seen some tickets

14:53

on the text side where it it basically

14:56

overloads the email it gets way too long

14:59

when it becomes That Base 64 just pasted

15:03

in so that and it will break

15:06

things all right that's it very

15:08

straightforward love this absolutely yep

15:12

uh definitely if you have any questions

15:14

at all don't hesitate to add them to the

15:18

uh the vi Cloud customer success Suite

15:21

we'll be happy to help there we've also

15:22

got the the widget that you can use in

15:24

the bottom right for opening a chat with

15:26

the support team and we'll be eager to

15:28

help and and uh yeah want to wish

15:30

everybody uh Happy Happy selling
