0:02

hello everybody uh thank you so much for

0:05

joining us today uh today's topic is

0:09

going to be email marketing

0:12

101 and as always we encourage you to

0:16

comment or chat any questions that you

0:18

might have uh since this is a

0:20

pre-recorded live stream you can just

0:23

send those in at any time and we will be

0:26

on standby to answer them as they come

0:29

through and also of course if you're

0:31

watching this actor it has gone live

0:35

again still feel free to chat comment

0:38

any questions that you have or of course

0:41

you can always just reach out to us too

0:44

we're more than eager to uh to help you

0:47

so what do we mean when we say email

0:51

marketing well uh basically we're

0:54

talking about sending mass emails and

0:57

these are emails that are sent to groups

1:00

of people where each person gets their

1:03

own individual email so this means that

1:06

they can have their personal information

1:09

merged into the email templates that

1:11

they received so it'll greet them by

1:13

first name or you can also merge any

1:15

other information in that you have on

1:17

those contacts into those email

1:20

templates and so this is totally

1:22

different from say sending an email

1:24

where you are cing or BC seeing a bunch

1:27

of people on it uh so the two essential

1:32

components that you have in mass emails

1:35

are ultimately going to be the contact

1:38

list and the email template itself and

1:42

so we're going to go over the entire

1:44

workflow here today uh but just note

1:48

that there's a lot that to cover here

1:51

we're really not going to be able to go

1:52

into the nitty gritt of each and every

1:55

individual detail the goal really is to

1:58

give you an idea of that start to finish

2:00

workflow and how VI Cloud supports your

2:03

marketing and sales efforts as you send

2:06

these kinds of emails so we're going to

2:08

be talking about everything from the

2:10

import to creating those contact lists

2:13

to creating your email templates to what

2:16

happens well how to send and also what

2:18

happens and how to monitor you know that

2:21

that after the fact uh those analytics

2:24

in the system of course if you have more

2:27

detailed questions send them in we're

2:29

eager to help we also probably have are

2:31

going to have more resources coming too

2:35

that talk about some of those uh more

2:37

fine details too so you might be able to

2:39

find those in The Help Center as well or

2:42

you can ask our AI bot

2:44

too and um yeah so let me show you how

2:49

you can go about doing this so I'm G

2:52

share my screen first of all actually I

2:54

want to show you really quickly just to

2:56

minimize how many times I need to jump

2:59

back and forth forth between the

3:00

different screens here I just want to

3:02

show you an example of a of an import

3:05

file that you could use to import into

3:08

our system and the main thing to

3:11

highlight here is that first and last

3:14

name are separate so this is something

3:17

uh some systems have just a name field

3:20

where they combine first and last uh

3:22

that's definitely one thing to look for

3:24

when you're going to be importing

3:25

contacts into the

3:28

system and so this is the file that I'm

3:30

going to be importing and also note that

3:33

we got a custom field in here for

3:34

furniture type as a random example and

3:38

that is something I'm actually just

3:39

going to not bother with importing here

3:42

so I just want to highlight that you are

3:44

able to import files while ignoring

3:46

columns that maybe aren't

3:51

necessary all right so now I'm going to

3:54

share my other screen here that actually

3:57

has VIP cloud in it

4:06

okay there we

4:08

go so here we are on the home slet

4:13

started screen right here and we're g to

4:17

well first of I want to highlight the

4:19

fact that we're going to be just living

4:22

in this little tab right here so the

4:24

sidebar is very much geared towards

4:28

limiting how many times you need to

4:29

click around and just kind of lets you

4:32

select what you're doing here so in this

4:34

case we're focusing on

4:37

communication and everything that we

4:39

need will be right

4:41

here so right now we're going to be

4:44

importing and we're going to be

4:45

importing a contact list so let's go

4:48

over here to contact

4:51

lists and we can see our existing

4:53

contact lists in here and we're going to

4:55

be importing this one from scratch so

4:57

we're going to hit create

5:00

and we're going to select import

5:03

contacts and I'm going to drag my file

5:07

over also please note that you need it

5:10

to be a CSV so that's what I was just

5:12

showing you right there was a CSV file

5:15

dragging this

5:17

over and now I'm going to work from the

5:20

top down here so I'm going to give it a

5:21

name

5:30

and we need to make sure that the CSV

5:33

headers these are the columns that we

5:35

were looking at on that file that I was

5:38

showing you that they need to be mapped

5:40

to VI Cloud Fields so I need to help VI

5:42

Cloud know what that first name column

5:45

needs to go to and also you can uh note

5:48

that you're able to search for your

5:51

Fields here you don't have to just

5:53

scroll because there's a lot to scroll

5:56

through I'm just going to search for

5:58

first and there we go it makes it a lot

6:00

easier when we're doing this and if

6:02

you're just sending simple mass emails

6:04

chances are you only need maybe first

6:07

name last name and email you can get

6:09

away with that so just because you have

6:11

more information doesn't mean you

6:12

necessarily need to import it if it's

6:14

not something that's important to what

6:16

you're trying to accomplish

6:18

here and you'll see too that the system

6:20

tries to match these as well as it can

6:24

in this case here actually I'm just

6:25

going to uh when it says drop column

6:29

that means is it's it's not going to

6:30

import that column so we're going to

6:32

ignore all of those and just import this

6:35

as it is right now so we're

6:39

importing and you'll see that it is

6:41

going to be basically

6:43

instantaneous uh if you're importing

6:45

hundreds or thousands of contacts it

6:47

might take a little bit longer but it

6:48

generally does happen quite

6:52

quickly and let's go back to our

6:55

communication tab right here and we're

6:58

going to go to contact lists again to

7:01

check out our import

7:04

here and something you'll see here too

7:07

is a breakdown of all contacts versus

7:10

emailing contacts and what that means is

7:12

that these are going to be contacts uh

7:14

that are going to be emailable when we

7:17

hit send so there and we'll see right

7:19

here like maybe we're wondering why is

7:21

only one out of the three emailable well

7:24

let's click on the contact list name to

7:26

to

7:28

investigate and so so it's in this drop

7:30

down here where you'll see the answer to

7:32

that where we do indeed have three

7:34

contacts in here one is active for

7:37

emailing one is unsubscribed and one is

7:39

bounced so that's why if I hit send on

7:42

this it's not going to send to somebody

7:44

who's already unsubscribed from me and

7:46

or or somebody who has already bounced

7:49

now if you're importing for the first

7:50

time uh you're you might see some

7:53

bounced people if somebody else in the

7:55

VIP Cloud ecosystem has already tried to

7:57

email that that person and bounced uh

8:00

those people will show up as bounced but

8:02

you're certainly not going to have

8:03

anybody who's unsubscribed from you uh

8:05

if You' got a fresh

8:09

account and you'll also see too that

8:12

when I clicked into the list you see a

8:14

whole breakdown of all the contacts that

8:16

are that are in there you can see all of

8:18

their information you can click on their

8:19

names as well to look at their contact

8:23

records so let's go back I want to show

8:26

you how you can interact with these

8:28

contact lists

8:30

so when you hover over them you'll see

8:32

some options that open up on the right

8:34

side here and you've also got checkbox

8:37

right there so these are some of the

8:39

ways that you can interact with your

8:40

list like as you can see right here we

8:42

can hit email if we want to send an

8:45

email to that

8:47

list you can hit add contacts to have

8:51

this open up or we can sech we can

8:53

browse existing contacts in the system

8:55

to add them or you can create a brand

8:57

new contact and add them that way

9:00

and when I click on this whole bunch of

9:02

options open up here like renaming it

9:05

verifying which uh if you have verifying

9:08

capabilities in your account we

9:09

certainly encourage you to verify your

9:13

emails before you hit send see your help

9:16

center for a more detailed explanation

9:18

of

9:20

that you can move it to other users

9:22

create segments split it like split it

9:25

50/50 for an AV test and you've also got

9:28

delete option there

9:29

and you can also select multiple and

9:32

then hit this and create a segment from

9:34

those to make a brand new list out of

9:37

those two lists and you can apply logic

9:40

to it like including by

9:42

engagement um or filtering base and

9:46

contact

9:49

Fields all right so now we're going to

9:50

move over to email templates which is

9:54

the other core component of mass

9:58

emailing so let me click over here on

10:00

email and go down to

10:03

templates and here we'll see our

10:06

complete library of all email templates

10:09

that are in our account and if you're in

10:11

a multi-user account under shared with

10:14

me you'll see email templates that have

10:16

been shared with

10:20

you and to create a new account or to

10:22

create a new email template you can hit

10:24

this create

10:27

button and you can enter your internal

10:30

reference title for this template the

10:33

recipients won't see what this is so you

10:34

can get very

10:35

descriptive and the subject line which

10:38

is indeed the email subject line you are

10:40

able to edit this later so you don't

10:43

need to craft the perfect subject line

10:45

just because you are making a

10:48

template and if you want your template

10:50

to be viewable as a URL you can enable

10:54

template landing page right here and

10:56

again with all of these right here you

10:57

can edit them later on

11:00

and then you can see right here a visual

11:02

showing you that we have two different

11:04

email template Builders we got drag

11:07

androp HTML builder for the more

11:11

colorful kinds of email templates um

11:15

I'll be showing you what these look like

11:17

in a second or you've also got the rich

11:19

text Builder which is for more basic

11:22

kinds of email templates generally these

11:25

are going to the the HTML Builders are

11:27

going to be a little bit more marketing

11:28

first and the rich text Builder is going

11:31

to be a little bit more sales and

11:32

operations

11:35

first so rather than creating brand new

11:37

ones right here we got a couple of

11:39

examples we can take a look at by just

11:41

clicking into them so let's start with

11:43

the HTML

11:46

Builder and so this is a drag and drop

11:49

Builder it's a little bit like making a

11:51

website website if you've ever done

11:54

that and here we go so we do have

11:58

hundreds of sample templates that you

12:00

can use in uh that just come out of the

12:03

box and this is in in fact one of

12:06

those so let's actually check that out

12:08

so you can see 600 plus sample templates

12:10

up here note too that there are some

12:12

buttons up here as well that are quite

12:15

useful like editing the template details

12:18

which is what basically what we were

12:20

just doing the title whe there be a

12:22

landing page or subject

12:24

line and you can edit the landing page

12:27

details here too and got a whole bunch

12:29

of send actions here too like send test

12:32

yourself but let's click on those sample

12:37

templates and in fact I'm going to go

12:39

with a different one just to show you

12:41

how you can switch between

12:49

these and there's a good deal of uh of

12:54

stuff that you can do with these so

12:55

we're not going to go into all of the

12:56

details but I'll give you the punch

12:58

lines now now also I highly encourage if

13:01

you're if you're uh struggling with this

13:03

at

13:04

all when you first log in you're going

13:06

to see this blue box up here which links

13:09

to a detailed walkth through of this

13:12

Builder so I certainly recommend

13:15

checking out the videos there for more

13:17

detailed walk

13:18

through but the punchline here is that

13:22

you've got your blocks over here where

13:25

you can add an image add text a button

13:27

which is like a call to action

13:30

spacer and video These are the most

13:32

commonly used blocks in here and you've

13:35

also got structures so uh basically

13:38

these are like adding rows into the

13:40

template and you're deciding how many

13:43

columns you want to have in that

13:44

particular row so for instance if we

13:46

want to have text and a vid and a um

13:50

text and an image side by side you you

13:53

can just kind of drag this over and as

13:55

you drag it you'll see drop here up here

13:58

and if you want it to be inserted where

14:00

you see where where it says drop here

14:02

you can you can uh drop it right

14:05

there and you can then add blocks by

14:09

just dragging and dropping them over to

14:11

into those sections that you've added so

14:14

we'll drag an image

14:16

over and now we can put an image in here

14:19

you'll also see there's some quick

14:21

buttons on here too where you can

14:23

actually add an image text or a button

14:26

without even having to drag something

14:27

over so we want text to go in here just

14:30

click on that and now suddenly there's

14:32

text in here so this is just very simple

14:35

to add text in there and if we want to

14:38

edit something over here just want to

14:40

click on it first and then on the left

14:43

side you'll get options to add things

14:45

and in this particular case it's just

14:47

automatically loading up images where we

14:50

can click on ADD content to browse

14:53

for to browse uh my computer for images

14:59

you can grab stuff from canva we got an

15:02

integration with pixels for stock images

15:04

and content can be shared with you too

15:07

and everything that you've already

15:08

uploaded will be found here too so I'm

15:10

going to add a bip Cloud logo in there

15:13

and here we go now we have image and

15:16

text side by

15:18

side but the punchline here is that you

15:20

can just click on whatever you want to

15:22

edit you'll see options up here on the

15:25

left and you can then edit it from there

15:29

and just to show you where you can find

15:31

merge tags really quickly too if we want

15:34

to greet

15:37

somebody by name we can type it in we

15:42

got merge tags right here this is where

15:43

we can grab like say first name or their

15:46

email or stuff like

15:49

that and now when we send this to Jane

15:52

it'll say hey Jane summer

15:56

sale all right let's save and return to

15:59

our email templates to check out the

16:02

Rich Text

16:07

Editor so also you can tell that your

16:10

template is HTML or Rich Text based on

16:14

these logos here and when you hover over

16:18

them so as you can see much more

16:21

basic this is how you can send a very

16:25

text first kind of a email to somebody

16:29

and it is pretty much like drafting

16:31

something in Outlook or

16:36

Gmail Mo all basically by obviously just

16:39

typing you can add text in here and all

16:42

the options you're looking for will be

16:43

found in these

16:45

buttons and to add merge tags you'll

16:49

find that right there and you got a

16:51

whole list of all the merge tags that

16:53

are in the system or all the contact

16:55

Fields basically

16:59

and then also you can add attachments as

17:02

a trackable link right here so a little

17:04

bit like a Dropbox

17:06

link if you want to insert an image you

17:09

need to use this please don't copy and

17:11

paste a an image in there that will

17:13

break what you're sending if you do copy

17:15

and paste for an

17:18

image and you can add videos in here as

17:21

well and links if you want your links to

17:23

be trackable in other words you get a

17:25

notification and it's that engagement is

17:28

locked

17:29

when somebody clicks on a link then be

17:31

sure to use this to insert those

17:33

links and also please be careful in

17:36

general copy and pasting into this um

17:39

you do need to if you're GNA if you're

17:41

going to do copy and paste you need to

17:44

paste and I paste as plain text or merge

17:48

formatting uh don't just do a plain

17:51

paste with the formatting that you are

17:55

copying over because you probably will

17:57

have formatting issues

17:59

when you send it if you do that in

18:01

general though the best practice I would

18:03

say is just to draft your templates in

18:06

here and to not copy and paste

18:12

them and then at the very bottom here be

18:14

sure to hit save email template it does

18:17

not autosave and you've got send test

18:19

yourself right here as well so click

18:21

that and immediately receive a a test

18:24

send

18:29

all right so now let's talk about how to

18:32

send your email

18:34

templates so you can initiate a mass

18:38

email send from the email templates page

18:41

you can initiate it from the contact

18:44

lists page from the mass emails page

18:47

there's a lot of entry points that you

18:49

can take to send your mass

18:51

emails and in this case since we're on

18:54

this page here for email templates let's

18:57

just do it from here

18:59

so I'm going to go over here and I'm

19:01

going to hit

19:03

send and we want this to go to a contact

19:06

list so we to make it a mass email so

19:09

I'm going to do that you can choose your

19:12

contact list we're going to go to this

19:15

big list right here note that if you add

19:19

multiple here it is going to send to

19:23

send duplicates if you have the same

19:25

person across multiple lists so whenn in

19:29

doubt either use that segment uh like

19:32

the check multiple and create segment

19:35

that I showed earlier in your contact

19:37

lists to combine multiple lists into one

19:40

or if you're sending it from here and

19:42

you're and you might have duplicates

19:44

across your lists hit filter contact

19:46

lists first and that will dup duplicate

19:49

your lists when it when you go to hit

19:53

send so hit preview send

20:00

and now from here we can basically just

20:02

work from the top down so we've already

20:04

got our template

20:07

Chosen and then we can proofread our

20:12

subject

20:14

line we can

20:17

proofread our text in here note that

20:19

you're actually able to edit this on the

20:21

fly if you need

20:23

to but this is an opportunity just to do

20:26

a once over across your list make sure

20:28

that everything is looking as

20:32

expected and you're then able to either

20:36

send as an advanced mass email or as a

20:39

batch mass email please note that um you

20:44

do need to be very careful about Mass

20:46

emailing best

20:48

practices we do have a video that talks

20:51

all about this and helping to manage

20:54

your sender reputation and optimize your

20:57

deliverability

20:59

into your contacts inboxes U so we're

21:02

not going to go into details about that

21:04

in this particular video but it is a

21:06

very important topic and we encourage

21:08

all of our customers who haven't already

21:12

familiarized themselves with best

21:14

practices to watch that video before

21:16

they hit

21:17

send um we have a so the uh in the p in

21:22

The Help Center page that we'll be

21:25

posting this in there's going to be a

21:27

link to that video

21:29

so be sure to check that out if you

21:30

haven't already before it's time to hit

21:33

send on this and if you've just opened

21:35

up a fresh account with us and we have't

21:38

sent you a confirmation that we have

21:41

turned on mass emailing for you then it

21:44

probably hasn't actually been turned on

21:45

for you yet um now of course if you got

21:48

into this screen that Ron here it has

21:50

been turned on for you so you can rest

21:52

assured there but um but yes we it's

21:55

important to protect your ability to

21:58

deliver and not be flagged as a source

22:00

of spam that you are familiar with how

22:04

to uh adhere to best

22:06

practices and if you have advanced Mass

22:09

emailing enabled in your account uh that

22:12

is a good way to send a mass email see

22:14

your best practices video for how to do

22:16

that um but in this case right here

22:19

without rabbit ho holding down that

22:21

topic too much you're able to click

22:24

right here it'll pop up a confirmation

22:27

that yes like are you sure you want to

22:28

send you can hit yes if you're ready and

22:31

it will start that send for you got

22:35

schedule email here to schedule into the

22:38

future another option here for sending a

22:41

test to yourself as well uh which again

22:43

we recommend just sending test

22:46

yourselves in uh uh pretty potentially

22:51

multiple times just to make sure that

22:53

everything is looking

22:54

good so once you've hit send you'll then

22:59

uh be taken to the mass email page and

23:02

this is where you can monitor the

23:04

performance of your mass email so you'll

23:07

see a row for every mass email you've

23:10

sent you'll have links to you know check

23:13

out that email template self that was

23:15

sent the contact list that it was sent

23:18

to and all of these columns here have

23:22

various things that are broken down like

23:24

how big the list is did it deliver to

23:28

everybody if not how many did it deliver

23:30

to opens which is you know how many

23:33

times did somebody open the email itself

23:36

clicks which would be link clicks and if

23:38

you have inbox sync turned on then

23:41

you'll you'll see the replies that were

23:42

sent to you as well as any issues which

23:46

are very important to monitor as well

23:47

with those being spam reports

23:49

unsubscribes and

23:56

bounces all right so

23:59

that's it for today hopefully that

24:01

wasn't too dry I know there's a lot of

24:03

stuff to cover in there and I hope it

24:06

was uh helpful for for you to get

24:09

started with sending mass emails using

24:12

vibecloud um so like I said at the very

24:16

beginning if you have questions about

24:18

how to do this we are eager to be

24:20

available and help you out with getting

24:22

started with your sending or also just

24:25

how to optimize your sending too if you

24:27

are feeling like some optimizations

24:30

could be used there um and so reach out

24:33

to us if we can help and I hope you have

24:35

a lovely rest of you today thank you
