How to Add Images, Links, Buttons, and Attachments to Email Templates

VipeCloud email templates can hold images, linked text, buttons, and files that recipients click to download. Here you'll learn how to add each one in the Drag & Drop HTML Builder or the Rich Text Builder, and how to keep link clicks tracked.

You can add images, linked text, buttons, and downloadable files to email templates in both template builders, the Drag & Drop HTML Builder and the Rich Text Builder. Links you add with a builder's link tool are tracked, so you can see who clicked them.

How to Open an Email Template

Start from an existing template, or create a new one and choose which builder to use.

  1. Click Email in the sidebar.

  2. Click Templates.

  3. Click an existing template to open it, or click Create to start a new one.

  4. For a new template, enter a Template Title (For Your Internal Reference) and a Subject.

  5. Click Drag & Drop HTML Builder or Rich Text Builder.

How to Add or Replace an Image in the HTML Builder

  1. Drag the Image block into your template and release it where the image should go.

  2. Click the image block to open the image selector.

  3. Select an image from your content library, or upload a new one from your computer.

To replace an image already in the template:

  1. Click the image.

  2. Click Change Image.

  3. Select a new image from your content library, or upload a new one.

How to Link an Image in the HTML Builder

Recipients who click a linked image go to the URL you enter.

  1. Click the image in your template.

  2. Enter the destination URL in the link field in the settings panel on the left.

  3. Click Save.

How to Add a Button in the HTML Builder

Buttons work well as a call to action, such as registering for an event, downloading a file, or booking a meeting.

  1. Drag the Button block into your template.

  2. Click the button and type the button label.

  3. Enter the destination URL in the link field in the settings panel.

  4. To match your branding, change the button color and text style in the settings panel.

  5. Click Save.

How to Hyperlink Text in the HTML Builder

  1. Highlight the text you want to link.

  2. Click the Link icon in the editor toolbar.

  3. Enter the destination URL in the settings panel on the left.

  4. Click Save.

How to Add a File Download in the HTML Builder

Files in the Drag & Drop HTML Builder are hosted and shared as a download link, not attached to the email. We recommend putting the link on a button.

  1. Drag a Button block into your template.

  2. Click the button.

  3. Click Choose File in the settings panel.

  4. Select a file from your content library, or upload one from your computer.

  5. Change the button label to say what the file is, such as "Download the Guide".

  6. Click Save.

Recipients who click the button download the file.

How to Insert an Attachment in the Rich Text Builder

The Rich Text Builder inserts an attachment as a trackable link at your cursor.

  1. Click inside the text where the link should appear. If the template is empty, type some text or press the space bar once first, so the link doesn't land somewhere unexpected.

  2. Click the Insert Attachment As Trackable Link (paperclip) icon in the toolbar.

  3. Select a file from your content library, or upload one from your computer.

  4. To show a call to action instead of the file name, edit the link text.

The link text defaults to the file name.

How to Insert an Image in the Rich Text Builder

  1. Click inside the text where the image should go.

  2. Click the Insert Image icon in the toolbar.

  3. Select an image from your content library, or upload one from your computer.

  4. Set the image size.

  5. To make the image clickable, enter a URL for it before you insert it.

  6. Insert the image.

Image widths:

  • Full-width image - about 600 pixels.

  • Smaller inline image - about 250 pixels.

How to resize your image

  1. Click the image

  2. Click the bottom right corner of the image

  3. Drag to resize

How to Hyperlink Text in the Rich Text Builder

  1. Highlight the text you want to link.

  2. Click the Link icon in the toolbar.

  3. Enter the destination URL.

  4. Click Insert Link.

A URL you type or paste may turn into a link on its own, but clicks on it aren't tracked. To track clicks, add the link with the Link icon.

Key Notes

  • Attachments in both builders are hosted download links, not files attached to the email. Email providers' attachment size limits don't apply, spam filters are less likely to flag a link than an attached file, and each download is tracked like any other link click.

  • Link clicks are tracked only for links added with a builder's link tool.

  • The Rich Text Builder inserts images and attachments at your cursor, so click inside existing text before you insert anything.

  • A linked image, button, or text link works the same way for meeting links, registration pages, and file downloads.
