A linked sign up form is a copy of an admin's sign up form in a user's account that stays connected to the original. When the admin changes the form's fields, categories, or automations, every linked copy updates, so one admin can run the same form, coupon club emails, and follow-ups for every user from one place.
How to Copy a Sign Up Form Into Your Users' Accounts
Click Automation in the left sidebar.
Under Lead Capture, click Sign Up Forms.
Click the More button (three dots) on the form's row.
Select Copy Sign Up Form.
Under Account Actions, select one or more teams in the Copy into other users' accounts (one time) field.
To copy the form's autoresponders and scheduled sends too, check Copy Automations and Scheduled Sends.
To notify the users, check Send in-app alert to recipients.
Click Ok.
Every user on the selected teams gets a linked copy of the form. Teams let you limit a form to the users who pay for a particular package: put those users on one team and copy the form to that team.
How to Copy a Sign Up Form Automatically When Users Join a Team
The copy under Account Actions is one time, so users who join a team later don't get the form. The Admin Automation section of the Copy Sign Up Form panel covers them, and only Admins see it.
On the Sign Up Forms page, click the More button on the form's row.
Select Copy Sign Up Form.
Under Admin Automation, check When you add new users to a team or into your account, copy into their account.
Select the teams in the Copy to new user filter field.
To copy the form's autoresponders and scheduled sends too, check Copy Automations and Scheduled Sends.
Click Ok.
For example, a user who buys your coupon club package next month gets the form, and its scheduled sends, as soon as you add them to the coupon club team.
How to Update Linked Forms in Your Users' Accounts
Edit your own form and the changes reach every copy that is still linked. This covers changes to fields, field order, categories, and existing linked automations, such as moving a scheduled send to a different time.
To add a new autoresponder or scheduled send to every copy:
On the Sign Up Forms page, click the form's name.
Click the Automations tab.
Create the autoresponder or scheduled send.
Make sure Copy into sub-user sign up form copies is checked.
Click Save.
On the Automations tab, each automation shows Linked to parent or Unlinked from parent. A user who unlinked a copy keeps their own version, and your later changes to it don't reach them.
How to See Which Users Have a Copy of Your Form
The Audit Children button lists the users who have a copy of your form or automation, so you can check before you make a change, or answer a user who asks whether they have the form.
On the Sign Up Forms page, click the form's name.
On the Fields tab, click Audit Children.
To see only the users who unlinked their copy, turn on Only Show Unlinked.
Audit Children also appears on the Categories tab, next to linked automations on the Automations tab, on the Admin tab under the merge tag setting, and on linked emails on the Scheduled Emails page.
How to Send People to Each User's Own Form With a User Merge Tag
Assign a user merge tag to your form, and VipeCloud fills that merge tag with the short link to each user's own copy. Put the merge tag in a shared email template or landing page, and every user's version links to their own form.
Open Settings.
Under User, click User Merge Tags.
Enter a name in the New User Merge Tag field and leave the value blank.
Click Create Merge Tag.
On the Sign Up Forms page, click the form's name.
Click the Admin tab.
Select the merge tag in Assign Short Link To User Merge Tag.
Click Save Admin.
Changing the selected merge tag later updates it for every user who has a copy of the form. To share these pages on social media, see Landing Page Merge Tags.
For Users: How to Tell Whether a Form Is Linked to Your Admin's Form
On your Sign Up Forms page, a form your admin copied into your account shows a Copy From badge with your admin's name.
Click Automation in the left sidebar.
Under Lead Capture, click Sign Up Forms.
Click the name of a form with a Copy From badge.
Under the form's title, Linked To Admin's Form lists the parts your admin still manages:
Fields - The form's fields and categories. They are locked until you unlink them.
Automations - Autoresponders and scheduled sends your admin added, such as monthly coupon club emails.
User Merge Tag - A merge tag that holds the link to your copy of the form. Your admin uses it in emails, landing pages, and social posts sent on your behalf, and you can use it too.
Your admin's changes to these parts reach your form without any action from you. You can change the Form Details and Landing Page tabs, such as the thank you message or page images, without affecting the link.
For Users: How to Unlink Fields From Your Admin's Form
Unlink when you want to manage a copied form's fields yourself. Fields and categories unlink together, and your admin's later changes to them no longer reach your form.
On the Sign Up Forms page, click the form's name.
On the Fields tab, click Unlink Fields.
Confirm in the Confirm Unlinking Fields window.
For Users: How to Relink Fields to Your Admin's Form
Relinking replaces your form's fields and categories with your admin's current version and discards your changes to them. Your admin's later changes then reach your form again.
On the Sign Up Forms page, click the form's name.
Click Relink fields & categories next to Linked To Admin's Form.
Confirm in the Relink to Admin's Form window.
Key Notes
In email templates for linked automations, use user merge tags for the signature and any personal details such as social links or job titles. Anything you type in directly goes out the same in every user's emails.
The Admin Automation section of the Copy Sign Up Form panel appears only for Admins.
To try changes without unlinking, a user can open Copy Sign Up Form on the linked form and check Create copy in your own account. That copy isn't linked to anything.
Deleting a sign up form folder doesn't delete the copies already in your users' accounts.
