Zapier is a third-party automation platform that lets VipeCloud send and receive data with thousands of other apps. You can use it to create contacts, launch series, log activities, and more - triggered by events in other systems, or triggered by events in VipeCloud itself.
Zapier offers a free plan that covers most use cases. VipeCloud does not require a paid Zapier plan.
How to Access the Zapier Integration
Click Automation in the left navigation.
Click Zapier under Integrations.
This page is the central hub for your VipeCloud-Zapier connection. From here you can generate API keys, create Zaps, configure triggers, and review activity logs.
What VipeCloud Supports in Zapier
VipeCloud supports both sending and receiving data through Zapier.
Triggers (send data out of VipeCloud):
Contact Info - Sends information for a single contact or all contacts in a list. Triggers as a series step or when opportunity stages are changed.
Actions (receive data into VipeCloud):
Create Contact - Creates a contact in VipeCloud from data in another system.
Log Activity - Logs an activity on a contact record. Creates the contact if it doesn't exist.
Launch Series - Enrolls a contact in a series based on a trigger from another system.
Create Opportunity - Creates an opportunity based on a trigger from another system.
Update Opportunity - Updates an existing opportunity based on a trigger from another system.
How to Generate a Zapier API Key
You need a Zapier API key to authenticate VipeCloud inside Zapier. This is separate from VipeCloud's general API keys used for custom integrations.
Go to Automation > Zapier.
Scroll to the API Keys section.
Click Create API Key.
Copy the key that appears.
In Zapier, when prompted to connect VipeCloud, paste the key along with your VipeCloud email address.
How to Create a Zap
Go to Automation > Zapier.
In the Create Zaps section, click Click here to create your Zaps. This opens Zapier and activates VipeCloud as an available app in your account. You must use this link - VipeCloud is a private app on Zapier and cannot be found by searching.
In Zapier, click Create Zap.
Select your trigger app and configure the trigger event.
Add an action step and search for VipeCloud.
Select the VipeCloud action you want to use.
Map the fields from the trigger app to the corresponding VipeCloud fields.
Test the Zap, then turn it on.
Field mapping works similarly to a contact import - you match incoming fields from the source app to VipeCloud contact, opportunity, or activity fields. Custom fields you've created in VipeCloud will appear as available mapping options.
When using Create Contact, note that you can add Contacts to existing Contact Lists in VipeCloud.
How to Use VipeCloud as a Trigger
VipeCloud can also send data out to other apps when a contact event occurs. This is useful for syncing contact data to external systems in real time.
Once you build a Zap using a VipeCloud trigger, it will appear in the Active Zapier Triggers section of the Zapier page. From there, you can apply that trigger in two places:
Inside a Series Template step
On an opportunity stage change
This allows you to fire external automations at precise points in your VipeCloud workflows - for example, notifying a fulfillment system when an opportunity moves to a specific stage, or sending contact data to a third-party tool when a series reaches a certain step.
Zapier Activity Logs
The Zapier Activity Logs section at the bottom of the page shows a record of recent trigger events fired from VipeCloud. Each entry includes the trigger name, the data posted, and the response received.
Use this to confirm that triggers are firing correctly and to diagnose issues when a Zap isn't behaving as expected.
Key Notes
Zapier works with most web form builders. The most common use case for using Zapier is to integrate VipeCloud with a website's forms, if one doesn't want to use VipeCloud's Sign Up Forms for this purpose.
VipeCloud is a private app on Zapier. You must click the invite link from Automation > Zapier to make it available in your Zapier account. Searching for VipeCloud directly in Zapier will not find it.
A single Zap can include multiple actions, so one trigger can create a contact, launch a series, and log an activity in one flow.
Log Activity will create the contact in VipeCloud if one doesn't already exist for that record per the Contact's unique identifiers.
Active Zapier Triggers only appear after you've built and connected a Zap using a VipeCloud trigger in Zapier.
Zapier API keys generated here are specific to the Zapier integration. They are not the same as API keys used for custom or developer integrations.
