Lead Form Workflows

VipeCloud Sign Up Forms do more than collect contact information. Using the Automations tab inside any form, you can automatically send follow-up emails, launch series, create opportunities, assign leads to the right team member, and route different responses to different workflows - all without any manual work after the form is submitted.

How It Works

When someone submits a Sign Up Form, VipeCloud can immediately trigger one or more automated actions based on that submission. These actions are configured inside the form's Automations tab.

The Automations tab has two sections:

  • Trigger Automations When Someone Signs Up - Actions that fire immediately when the form is submitted. This is where lead routing, series launches, and follow-up emails are configured.

  • Schedule Emails & Texts to Send to All Sign Ups - Sends that go out to everyone who submitted the form at a specific future date and time. Best for event reminders and post-event follow-ups.


Routing Leads Based on Form Responses

The most powerful use of form automations is conditional routing - sending different follow-ups and assigning different owners based on how someone answered a question on the form.

Each automation row in the Trigger Automations section has three columns:

  • Action - What happens when the automation fires (send an email, launch a series, create an opportunity, etc.)

  • Conditions - Which form responses should trigger this specific automation. If no condition is set, the automation fires for every submission.

  • Sign Up Owner - Which user or team is assigned ownership of this sign-up. Can be a specific team member or a round robin across a team.

Example: A form asks about annual revenue. Leads under $1M are assigned to junior sales and launched into one series. Leads over $1M are assigned to senior sales via round robin and launched into a different series. Both happen automatically the moment the form is submitted.

Conditions is an Enterprise plan feature.


What Automations Can Do

When creating a trigger automation, you can choose from the following actions:

  • Send Email

  • Cancel Scheduled Email

  • Send Text

  • Cancel Scheduled Text

  • Launch Series

  • Remove From Series

  • Set Custom Field Value

  • Create Task

  • Create Opportunity

You are not limited to one automation per form. Multiple automations can run from the same submission - for example, launching a series, canceling a previous series, and creating an opportunity can all happen at once.
