How to Use Vipe AI Watch Agent

Watch Agent monitors contacts and opportunities on your watchlist, surfaces signals from inbound activity and rotting deals, and recommends next steps.

Watch Agent is available to all Vipe AI subscribers, including Vipe AI free trial users. Vipe AI subscribers are able to watch 50 items and free trial users can watch 10 items.

Watch Agent keeps an ongoing eye on the contacts and opportunities you add to your watchlist. It scans inbound activity - including soft "aboutness" matches that relate to a watched item without being an obvious, direct hit - and surfaces what it finds as a signal, even when no action is taken automatically. It also catches deals that have gone stalled, or "rotting." When something needs your attention, Watch Agent recommends a next step so nothing slips through, even when a mention is easy to miss.

How to Access Watch Agent

  1. Click Vipe AI in the left sidebar.

  2. Click Watch under Agents.

You can also reach items that need attention directly from the Vipe AI Overview page. Any open Act-lane signal appears there under Needs You Now, with a link to Open Watch board.


How to Add Items to Your Watchlist

Watch Agent only evaluates items you've added. A new item won't generate signals until it's on your watchlist.

  1. From the Watch board, click Add Items to Watchlist.

  2. Choose the Contacts, Opportunities, or Accounts tab depending on what you want to watch.

  3. Use the search field to find the item.

  4. Click Add Contact & Close to add it and close the window, or Add Another to keep adding items without closing.

  • The watchlist has a cap of 50 active items per user.

  • Each watched item shows in the Currently Watching list at the top of the Watch board, with a running count such as "1 of 50."


Understanding Watch Signals

Signals are grouped into three lanes:

  • Act - A decision is needed. These signals are the most likely to need a reply or a follow-up action.

  • FYI - Worth knowing, but no action needed.

  • Risk - Silence or a negative signal on a watched item.

Each signal in the Act and Risk lanes shows the inbound activity that triggered it, along with a suggested next step written by Watch Agent.


How Watch Signals Differ from Rotting Deal Catches

A watch signal is triggered by activity - typically an inbound email that mentions or relates to a watched contact or opportunity. A rotting deal catch is different: it's triggered by the absence of activity, when a watched opportunity hasn't moved or been touched in a while. Rotting deal catches land in the Risk lane alongside other silence-based signals, but they aren't tied to a specific inbound message the way Act and FYI signals are.


How to Review and Act on Signals

The Watch board is where you work through open signals.

  1. From the Watch board, find the signal you want to handle.

  2. Click Review & Send to open a draft reply. Watch Agent pre-fills the message using the context from the triggering activity, shown under Watch Agent Context at the top of the compose window.

  3. Edit the draft as needed, then click Send Now.

If a signal doesn't need a response, click Dismiss to clear it from the board.


How to Configure Evaluation Cadence and Notifications

Evaluation cadence controls how often Watch Agent re-reads a watched item when activity happens. Higher cadence catches more events; lower cadence keeps things quieter.

Account-Wide Default

  1. From the Watch board, click the gear icon in the top right.

  2. Under Evaluation cadence, choose Real-time (up to 30 evaluations per item per day), Hourly (up to 14 per day, default), or Daily (1 per day).

  3. Under Notification channels, toggle Web and Mobile on or off for each lane: Act, FYI, and Risk.

Per-Item Override

  1. Next to a specific watched item in the Currently Watching list, click the gear icon.

  2. Choose Use my default to follow your account-wide cadence, or select Real-time, Hourly, or Daily to override it for this item only.

  3. Adjust the Web and Mobile toggles for this item's lanes as needed.

  • Per-item overrides take precedence over the account-wide default.

  • Changes to cadence and notification settings save automatically.


How to Review Watch Agent Activity

  1. From the Watch board, click Audit.

  2. Review the summary of what the agent did over the trailing window, including items evaluated, signals surfaced, and items turned away by the cadence ceiling.

  3. Scroll down to see recent evaluations, including the trigger, verdict, and reasoning behind each one.
