Understanding the Opportunity Record

An opportunity record is the full detail view for any deal, candidate, or tracked item moving through your pipeline. Each pipeline card opens into its opportunity record, where you can view and edit all information associated with that opportunity.

The cards on an opportunity record can be reordered to match your preferred layout. The order shown in this article reflects the default layout and may differ from what you see in your account.

What Is on an Opportunity Record?

Opportunity records are organized into cards. Each card holds a specific type of information or related object.

  • Open Tasks - tasks assigned directly to this opportunity

  • Details - core fields including name, amount, close date, pipeline, stage, and owner

  • Custom Fields - any custom data fields configured for your account

  • Notes - internal notes attached to the opportunity

  • Estimates - estimates associated with the opportunity

  • Contacts - contacts linked to the opportunity

  • Related Opportunities - other opportunities linked in a parent or child relationship

  • Content - files and documents attached to the opportunity


How to Edit an Opportunity's Details

The Details card holds the core data for the opportunity. You can edit these fields at any time without moving the opportunity in your pipeline.

  1. Open the opportunity record.

  2. Click the pencil icon on the Details card, or click Edit and Reload from the edit panel.

  3. Update any of the following fields:

    • Opportunity Name - the name displayed on the pipeline card

    • Summary - a short internal description that's displayed in the pipeline

    • Amount - the estimated value of the opportunity

    • Close Date - the expected close date

    • Pipeline - which pipeline this opportunity belongs to

    • Stage - the current stage within that pipeline

    • Owner - the team member responsible for the opportunity

    • Account - the account this opportunity is associated with

  4. Click Edit and Reload to save.

You can also change the pipeline or stage directly from the board by dragging the opportunity card into the correct column.


How to Associate Products With an Opportunity

Products can be added to an opportunity to track what is being sold. You can also have VipeCloud calculate the opportunity amount automatically based on the products added.

Products must be created before they can be added to an opportunity. To manage your product catalog, go to CRM > Products.

  1. Open the opportunity record.

  2. Click the pencil icon on the Details card.

  3. Scroll to Additional Standard Fields.

  4. Under Products, click Choose Product and select a product.

  5. Enter the Rate and Quantity.

  6. Click Add Another Product to add additional line items if needed.

  7. To have VipeCloud calculate the opportunity amount from your product line items, enable the Build Amount From Products toggle. When this is on, the Amount field updates automatically based on your products, rate, and quantity.

  8. Click Edit and Reload to save.


How to Add Contacts to an Opportunity

One or more contacts can be linked to an opportunity. Linking a contact surfaces all of their email, text, and activity history directly in the opportunity's Recent Activity feed, so you can see all relevant engagement in one place.

  1. Open the opportunity record.

  2. Scroll to the Contact card.

  3. Click the + button.

  4. Search for and select the contact you want to link.

If an opportunity was created directly from a contact record, that contact will already be linked.


What Are Related Opportunities?

Related Opportunities allows you to link two opportunities together in a parent-child relationship. This is useful any time one deal is connected to or dependent on another.

Common use cases include:

  • Multi-unit franchise sales - a parent opportunity represents the overarching brand or territory deal, with individual unit opportunities linked as children beneath it

  • Renewal tracking - a renewal opportunity linked as a child to the original closed deal

  • Upsell opportunities - an expansion deal linked to the parent account opportunity

  • Multiple properties - separate opportunities for each property linked under one parent buyer opportunity

How to Link a Related Opportunity

  1. Open the opportunity record you want to link from.

  2. Scroll to the Related Opportunity card.

  3. Click the + button.

  4. Choose one of the following:

    • Search Opportunities - find and link an existing opportunity

    • Create Opportunity - create a new opportunity and link it in the same step

  5. Select the opportunity you want to link.

  6. Set the relationship type - Child or Parent - relative to the opportunity you are currently on.

  7. Click Add Opportunity.

The relationship is bidirectional. If you link opportunity B as a Child of opportunity A, opportunity B will automatically show opportunity A as its Parent - no additional steps required.


How to Attach Files to an Opportunity

The Content card lets you attach files directly to an opportunity record. Use this to keep contracts, proposals, PDFs, and other supporting documents organized alongside the deal.

  1. Open the opportunity record.

  2. Scroll to the Content card.

  3. Click the + button and upload the file.


Key Notes

  • Card order on the opportunity record is customizable. The layout you see may differ from the default shown in this article. To adjust your layout, see Customizable Item Layouts.

  • If your account uses custom object names, opportunities may appear under a different label. The record structure is the same.

  • Estimates are associated with opportunities rather than contacts. To learn how estimates work, see Creating & Sending Estimates.
