How To Add Related Emails To Contacts, Opportunities, or Accounts

Overview

Sometimes you’ll receive an email that’s relevant to a specific contact, opportunity, or account - even though the sender isn’t directly associated with that record. Rather than linking the contact formally (which can clutter your CRM), you can use the Add Email To Item feature to attach that email to the right place.

This keeps all relevant communication together while maintaining clean relationships between your records.

This feature is useful for when you only want to add select emails to another CRM item. If you want ALL emails from a Contact to be added to an Opportunity or an Account, go to the Contact Card on the Opportunity or Account record and add the Contact.


Adding An Email To An Item (00:52)

  1. From your contact record, locate the email you’d like to attach.

  2. Hover over the email and click the three-dot icon (⋯) that appears.

  3. Select Add Email To Item from the dropdown.

  4. In the modal that appears, choose the item type (Contact, Opportunity, or Account).

  5. Select the specific record you want to attach the email to.

  6. (Optional) Keep Bookmark this email for this item turned on if you’d like quick access later.

    • The default is on, since emails you’re attaching are usually important.

  7. Click Add Email To Item to finish.


Viewing The Added Email (03:20)

Once you’ve attached the email, navigate to the record you selected (for example, the opportunity).

  • You’ll see the email appear in the timeline at the point it was originally received, not when it was attached.

  • The email will display a helpful “Email Added To Item” badge to indicate it was manually associated.


Finding Bookmarked Emails (04:37)

If you left the Bookmark option enabled, you can also find the email under the Bookmarked tab for that record.

This helps keep high-value communications easy to find, even as your timeline grows over time.


Automatic Thread Linking (05:01)

If the contact who sent that email later replies within the same email thread, those follow-up emails will also be automatically added to the same CRM item.

This ensures that any ongoing communication remains tied to the right record without additional steps.

0:00 Do you ever get emails from people that are pertaining to contacts, opportunities, accounts, where that contact is a third party to this other thing that you're working on? 0:18 It doesn't make sense to connect that person entirely to that, for instance, that deal that you're working on, But, there's an email that you have that is directly related and relevant to that other item in your system, and it would be really helpful to have it just associated with that Bye. 0:40 Contact, opportunity, what have you, right there on that record, so you've got a single point of reference for everything that's relevant for that. 0:52 Well, we have a feature that helps you do just that, and this feature is called Add Email To Item, and it's really easy to use, and I'm going to show you how to do that right now. 1:09 So, in this case, in this scenario, we've got like a third party that is providing feedback or a candidate in our, in our system, and they've sent that email, uh, with feedback, and we want to associate it with that opportunity for that candidate. 1:33 So, in this scenario, this person right here has provided feedback, but it doesn't make sense to have this contact be formally associated with the opportunity because after all we're emails with this person that are unrelated to the opportunity all the time and it would just clutter that opportunity. 2:00 But this email is really important. So, we're on the contact record, we see the email right there, and you can hover over this email, and then click on the dot, or the ellipses with the three dots that appears when you hover over it. 2:19 A drop down comes down, and the top option is add email to item. We're gonna click on that and just work through this little modal that pops up. 2:33 We've got the item type, so again like I kind of suggested earlier, you can do this with either emails, and associate them with any CRM item type that is in our system, including contacts, opportunities, and accounts. 2:50 In this case, it's an opportunity that we're gonna be working with, so we select opportunity. Now we choose which opportunity, you select your opportunity, And, optionally, you can also bookmark this email for this item. 3:10 The default position for this setting is on, because after all, if you're doing this, chances are this is a pretty meaningful and material email. 3:20 For whatever it is that you're adding it to, but if you'd rather not, you can turn it off. So now we just hit add email to item, and we then head over to our opportunities, select the opportunity, and you can now see on this opportunity that that very email that I just added. 3:56 There's a helpful badge on here that says email. Added to item that helps you. It just helps make a stand out that, Hey, this email wasn't originally on this opportunity record and it doesn't, uh, it doesn't, it hasn't come from any of the contacts that are associated with this, uh, with this opportunity 4:21 . So we're able to see this in the timeline that it arrived in as in when the email itself was actually received by our inbox, not by when we added it to the opportunity. 4:37 And also, I want to show you that because because we bookmarked that, that email, it'll appear under our bookmarked tab as well. 4:48 So as time goes on and the email maybe gets buried in the timeline, it'll still be easily in the bookmark tab. 5:01 Something else that is relevant here is when that contact or, or if rather I should say if that that contact who sent this email that we added to the item if they send a reply and a follow-up email in that same thread, that next email or any subsequent emails are in that thread will also automatically 5:28 be added to this CRM item. In this case, this opportunity that we've added this to. So we think that this is a really pretty cool feature that will just help with putting the information that is most relevant to any given scenario right at your fingertips help save you time from digging through other 5:54 communications.
