00:00 Hello everybody, my name is Drew, and today we're going to look into filter views. Filter views are how you can pull up a list of contacts that matches a particular rule.
00:17 For example, if you're wondering, "Who is in the state of Pennsylvania in my account?" a filter view can help you find that, assuming you have the data in your system.
00:32 This can also apply to custom fields, contact status, or any other information you're tracking in your account.
00:38 These filters can also apply to other data tables, like tasks, opportunities, and accounts. However, most people use these for contacts, so we’ll focus on that today.
01:17 Let’s head over to the Contacts section. You'll see the filter view dropdown, where all the filter views created in this account are listed.
01:47 If you're looking at a filter view, you’ll see a button labeled "Edit Filter." For system filters like "My Contacts," the button will say "Filter," which lets you create a new filter view.
02:14 Click "Filter" to start creating a filter view. You can name it something descriptive and choose whether it applies to just your contacts or all contacts in a multi-seat account.
02:55 You can also make it available to all users so everyone can access it in their dropdown.
03:27 Next, select the fields and rules you want to apply. For example, "City is Philadelphia" or "Industry is Retail."
03:53 You can add multiple fields and set how rules are applied, such as "is," "is not," "includes," or "does not include."
04:39 For example, to find contacts with email addresses, you could use "includes" with the "@" symbol. Once the rules are set, click "Save."
05:09 Here’s an example: A filter view for "Industry is Construction" shows all matching contacts. You can see the rules for a filter view at a glance.
05:40 Another example: A filter view for "Plan includes Auto" will display all contacts with that plan, even if they have additional plans. Changing a contact's data will dynamically update the filter view.
06:36 The key difference between a filter view and a contact list is that filter views are rules-based and update automatically when data changes, whereas contact lists are static.
07:17 Once a filter view is created, it remains in the dropdown for future use.
07:45 You can also star a filter view for quick access from any page. For example, if you’re in sales and regularly use a "Not Yet Contacted" filter view, you can star it for easy access.
08:44 Starred filters appear in their own section and can be quickly opened. To remove a star, simply click it again.
09:48 To delete a filter view, click "Edit Filter," make changes if needed, and then click "Delete." This removes the filter view from your list.
10:17 Filter views are a powerful way to sift and sort your contacts, create segments for marketing campaigns, surface opportunities, and manage accounts. If you have questions or need help creating specific filter views, feel free to reach out to us! Thank you.
