External Sharing lets you copy email templates, text templates, series templates, files and videos into another VipeCloud account, even if that person is not on your team or in your organization. It works well for independent people who collaborate, such as franchise consultants, partner organizations, or sales reps who each run their own account.
Content is copied, not linked. The recipient gets their own version to edit, and nothing they do affects your original.
If the person you want to share with is already a user in your account, you don't need External Sharing. Use internal sharing instead - see Managing Your Multi-Seat Account's Users.
What Can Be Shared With Another VipeCloud Account?
You can copy these items into another VipeCloud account:
Email templates, including HTML templates and landing pages
Text templates
Series templates - the email and text templates used in the steps are copied along with the series
Files from your Content library, such as images, PDFs and spreadsheets
Videos from your Content library
Everything else stays in your account. External Sharing cannot copy sign up forms, automations, schedulers, contracts, communities, AI conversation templates, QR codes, pipelines, custom fields, tags, filter views, contacts or contact lists.
Template folders can't be shared as a whole. Open the folder and select the templates inside it instead.
You can only share your own original work. A template that was copied into your account by someone else, such as an admin or another account, usually can't be shared onward.
How External Sharing Works
You send your share link to another VipeCloud user.
They open the link and send you a request.
You approve or deny the request.
You choose which content to copy into their account.
Approving someone does not give them access to anything in your account. Nothing is shared until you copy a specific item to them.
How to Find Your External Share Link
Click the Settings gear icon in the lower-left corner.
Click External Sharing in the sidebar.
Copy the link under Your Share Link.
Send the link to the person you want to share with.
Each user has their own share link. If your link shows (Disabled), External Sharing has been turned off for you by your account owner.
What's on the External Sharing Page
The External Sharing page is in Settings and holds every external sharing control for your account.
Enable External Sharing for all users - Visible to the account owner only. Turns the feature on or off for everyone in the account, with exceptions for specific users.
Your Share Link - The link you send to people who want to receive content from you. Use Preview to see what they'll see.
Your External Users - Everyone who has requested content from you, with their status. You approve, deny, disable and re-enable people here.
Your Sharing Logs - A record of the email, text and series templates you've shared, who received them, when, and any errors.
Your Requests To Others - Accounts you've requested content from, and the status of each request.
How to Approve an External Sharing Request
When someone sends you a request through your link, you'll get an email titled "VipeCloud: External Sharing Request." They'll appear in your External Users tab with a Pending status.
Go to Settings > External Sharing.
Open the Your External Users tab.
Hover over the request and click Approve.
Confirm in the pop-up.
Their status changes to Active, and they now appear as an option when you copy content. The other person does not get an email when you approve them, so let them know directly.
To turn down a request, click Deny instead. You can change your mind later by clicking Enable on that row.
How to Let Someone Re-Share Your Content
Each approved external user has an Allow Sharing My Assets toggle in the Your External Users tab. It is off by default, which means they can't share your content with other accounts.
Turn it on if you're comfortable with them passing your content along to other VipeCloud accounts. This toggle only controls sharing with other accounts. It does not stop them from copying your content to users inside their own account.
How to Copy Templates Into Another Account
This works for email templates, text templates and series templates. You need at least one approved external user first.
Go to the Email Templates, Text Templates or Series Templates page.
Check the box next to each template you want to share.
Click the dropdown arrow next to the checkbox at the top of the table.
Click Copy To Users - Templates Only.
Select the recipient. External users appear as External: Name (email).
Click Ok.
To send to everyone you've approved at once, select External: All External Users in the recipient list.
The success message appears even if a template couldn't be copied, so check your Sharing Logs afterward.
How to Copy Files and Videos Into Another Account
Go to the Content page.
Check the box next to each file or video you want to share.
Click the dropdown arrow next to the checkbox at the top of the table.
Click Copy To External Users - Files Only.
Select the recipient.
Click Ok.
Files and videos do not appear in your Sharing Logs. Ask the recipient to confirm they received them.
What Happens After You Share
The copy lands in the matching page of the recipient's account, at the top level rather than in a folder.
Your name is added to the title in brackets, such as "Welcome Email [From Jane Smith]," so they know it came from you.
Images and files used in an email template are copied into the recipient's Content library too.
The recipient does not get a notification when content arrives, so let them know you've sent it.
The copy is theirs. They can edit it, and their changes don't affect your original.
Merge tags for custom fields only fill in if the recipient has a custom field with the same name in their account.
How Do I Send an Updated Version of a Template?
Updates never sync automatically. If you change your template after sharing it, the recipient's copy stays the same.
How re-sending works depends on the item:
Email and text templates - If the recipient still has the earlier copy, sending again does nothing. Ask them to delete their old copy, then send it again.
Series templates, files and videos - Each send creates a new copy. Ask the recipient to delete the old one to avoid duplicates.
How to Check Whether Your Templates Were Shared
Go to Settings > External Sharing.
Open the Your Sharing Logs tab.
Find the template and the recipient.
A successful share reads "You copied the email template [name] to [recipient] on [date]." If the copy failed, you'll see an error on that row. The most common cause is that the template isn't your original work, or the person's access is no longer Active.
How to Remove Someone's Access
Go to Settings > External Sharing.
Open the Your External Users tab.
Hover over the person and click Disable.
Confirm in the pop-up.
Disabling stops you from sending them anything new. Anything you already copied to them stays in their account. To restore access later, click Enable on the same row.
How to Request Content From Another Account
If someone wants to share content with you, they'll send you their share link.
Log in to your VipeCloud account.
Open the share link.
Click Send Request To [Name].
Your request is connected to the account you're logged in to, so make sure you're in the right account before opening the link.
You can check the status under Your Requests To Others on your own External Sharing page. You won't get an email when you're approved, and anything they copy to you will show up in your account without a notification.
Your Requests To Others also has Rescind and Disconnect buttons. Use them carefully - once you rescind a request or disconnect from someone, you can't reconnect with them yourself.
How to Turn Off External Sharing for Your Users
Only the account owner can see this setting.
Go to Settings > External Sharing.
Turn off Enable External Sharing for all users.
To let specific users keep sharing, click Exceptions.
Check each user who should keep access.
Click Save Exceptions.
Turning this off blocks the account owner too, so add yourself as an exception if you still want to share. Blocked users can no longer send content to other accounts, but they can still request and receive content from others.
