duplicate contacts into the system and

uh the way that this is done most

typically is through email addresses uh

because you might have multiple contacts

with the same names email addresses are

how we differentiate those say like you

know five different Bob Smiths that you

might have in your account and what will

happen is that when you import bipod

will check to see is there a matching

email address in the system if not you

it'll create a new contact record but if

there is a matching email address then

instead of creating a new contact what

it'll do is just look for new data so if

there's a match in the email address but

maybe there's a new last name and a new

phone number then VIP Cloud will

overwrite that last name and that phone

number and it'll keep everything else

intact and it will not create a

duplicate contact so that's most

typically how uh duplicates are handled

and also how how it's important to make

sure that if you can you have email

addresses for every contact uh because

it helps with data management and

import CSV is the file type that VIP

cloud is able to accept uh most systems

will do CSV exports sometimes it'll be

an Excel file export type that you will

receive but the good news is that you if

you just do a save as in your Excel file

CSV is an option right there you'll just

CSV and you can then convert it over

very very easily and then that can be

imported into vibecloud

one common thing is that some systems

will combine the first and last name

into a single column VIP Cloud does not

handle first and last names in that way

so the best practice is to then convert

that into separate Columns of first and

import another instance that's similar

to this that some

systems will have address as again a

single monolithic column you do not want

import rather than just contacts the

difference here is that with a contacts

import it will simply just take all the

contacts from your import file and add

contacts but with contact lists when you

also create a contact list out of them

well and this means that if your plan is

Fields so first of all it's important to

standard Fields just to quickly review

now basically it's going to be stuff

that you would see on somebody's

business card is I think the quickest

way to summarize it so that means you

know their first name their last name

email phone all the phone number

job title things like that you'll find

Fields also you can note that these are

all customizable so let's say for

instance an example I like is let's say

you're located in Canada or in Europe

and zip codes are not a thing but you

don't necessarily need like you actually

you don't need to create a custom field

for that necessarily you could just go

in and rename zip into uh into post

code so all of this is customizable in

that way so you can change the verbiage

Fields you will see that there are a

whole variety of custom field types that

you can choose from text is going to be

generally the simplest one where it'll

just accept whatever whatever data is

put in there uh when when you're filling

but I generally recom recommend that

people go with whatever the most limited

field type is that would make sense for

that data and of course also you need to

make sure it's going to work with your

source file too um so for instance if

it's some if it's a uh number field that

you're looking for but some of your

Source data might just be kind of

cluttered and it has some you know

somebody uh wrote out the word seven

what this means is you can literally not

don't need to check this because the

most common use case for this required

field is is in a manager enforcing that

their sales or marketing team be

diligent about always collecting some

information and this also will mean that

required and it's impossible to make

contact without some data in this

field so this is just for sales teams I

would say though uh your mileage may

sometimes is if a field is unique uh and

it means that and you do making it a

phone number that means that only one

number what it also means is that you

are making it into a unique identifier

for contact so if you're importing kind

of like what I described earlier with

emails emails are a unique identifier in

the system so only one contact at a time

can have that email and also VIP Cloud

can use that to prevent duplicates when

you are doing subsequent Imports and it

can like kind of automatically update if

you do a subsequent import with a

contact that matches that field that'll

happen here too where you could do that

with phone numbers Market as unique and

then when you do follow-up Imports with

contacts that have phone numbers as as a

column then it will prevent duplicates

in those subsequent

Imports if that's a little uh if you got

thrown off there a little bit feel free

you're not going to use just just be

aware that if you are later on trying to

thing to check occasionally people will

hide a field and then come back a year

later and wonder where it

is um and then also you might see here

too these are all sortable you can you

can drag and drop them and order them in

the way that you so choose mobile phone

as an example is not here uh normally

but it is something that I have made be

at the very top of the contact card as a
