How to Use the Dropdown Custom Fields Report

How to open the Dropdown Custom Fields report, pick a record type and field, read the counts and percentages, filter by date or filters, save a report, and share it externally with a link and optional password.

Written by VipeCloud Support

The Dropdown Custom Fields report counts how many Contacts, Accounts, or Opportunities have each option selected in one of your Dropdown custom fields, broken out by user or for the whole team. You can filter it, save the setup as a named report, and share it with people outside VipeCloud.

If you run your lead pipeline on a Contacts board that uses a Dropdown custom field as its stages, point this report at that field to see how many leads sit in each stage. Choose Contacts and your pipeline field, then use Rows: Per User to compare each user’s leads or Rows: Aggregate to see the whole team in one row. Turn on Show funnel % to see what share of leads has reached each stage or a later one, and turn on Show Total & Not Selected to count the leads that haven’t been placed in a stage yet.

How to Open the Dropdown Custom Fields Report

  1. Click Reports in the left navigation bar.

  2. Click Contacts.

  3. Click Dropdown Custom Fields.

How to Choose the Record Type and Field

The first two buttons at the top of the report control what it counts.

  1. Click the record type button and choose Contacts, Accounts, or Opportunities.

  2. Click the field button next to it and choose a Dropdown custom field. Type in Search Fields to narrow a long list.

Each option of the field becomes a column in the report. If the record type has no Dropdown custom fields, the report shows a message with a link to Customizations, where you can create one, and you can switch to another record type.

How to Read the Report Columns and Percentages

Each cell shows how many records have that option selected, plus that count as a percentage of the row's total. Use the controls on the second row of the command bar to change the layout:

  • Rows: Per User - one row for each user on the account.

  • Rows: Aggregate - a single All Users row that combines everyone's counts.

  • Show Total & Not Selected - adds a Total column, which is the number each percentage is based on, and a Not Selected column, which counts records with no option chosen for the field.

  • Show funnel % - treats the options as funnel stages in the order they're listed. Each cell shows the share of records that have reached that stage or a later one, so the first option is 100% and each one after it is smaller. This replaces the per-row percentage. To change the funnel order, reorder the field's options in Customize.

Click Export to download the table, or use the search box above it to find a user.

How to Filter the Report by Date or Record Filters

  1. Click the timeline button and choose All Time, Last 1 Day, Last 7 Days, Last 14 Days, Last 30 Days, Last 90 Days, or Custom.

  2. Click Filter Results to limit the report to records that match your filters.

  3. Click clear filters to remove them.

The timeline is based on when each record's value for the field was last updated, and it defaults to All Time. The badge on the Filter Results button shows how many filters are applied.

How to Save a Dropdown Custom Fields Report

A saved report keeps the record type, field, filters, timeline, rows setting, and column toggles together so you can reopen the same view later.

  1. Set up the report the way you want it.

  2. Click Saved Report.

  3. Click Save Report As.

  4. Enter a name in Name Report.

  5. If you're an Admin, choose Me or All Users under Make Report Available To.

  6. Click Save.

To open a saved report later, click Saved Report and choose it from the list. The person who created a saved report can update it with the Update option in the same menu. The creator or an Admin can delete it.

How to Share a Report With People Outside VipeCloud

You can share a saved report as a read-only web page with anyone who has the link. The Share button is available once a saved report is loaded.

  1. Open the saved report you want to share.

  2. Click Share.

  3. Optionally enter a Title for the shared page.

  4. Under Columns To Display, check the columns recipients should see.

  5. To require a password, turn on Password protect this view and enter a password.

  6. Make sure Share link enabled is on.

  7. Click Save External View Details.

After you save, the copy link and preview buttons appear next to Share on the report. In the Share window you can also:

  • Customize - changes the end of the share link to a name you choose.

  • Regenerate link - creates a new link. The old link stops working.

  • Share link enabled - turn it off to stop the link from working without deleting your settings.

Send the password separately from the link. Recipients are asked for it when they open the link.

Key Notes

  • The Dropdown Custom Fields report isn't available on the Plus plan.

  • Counts include only current field values. Values that were deleted from a record aren't counted.

  • Options added to a field after you share a report start unchecked under Columns To Display, so they don't appear on the shared page until you check them.

  • The Share window shows how many times the shared report has been viewed.
