How to Organize and Manage Templates In Folders

Written by VipeCloud Support

Templates include email templates, text templates, series templates, social post templates, and social sequence templates. This same folder and sharing system also applies to content - meaning images, PDFs, spreadsheets, and other files uploaded to VipeCloud.

Using folders can help you to more easily organize and share your Templates.

Understanding Folders

By default, when you create a Template, it will exist in My Templates which is the root folder. You can create Folders to further organize your Templates. This can include Sub-Folders for further organization.

Templates can exist in multiple Folders. Admins can view the folders of other admins in the account.

When you click into a Folder, you can see the folder hierarchy in a "breadcrumb" in the upper left. You can return to another folder by clicking on it:

From any Templates table, you can view all of your Folders by clicking on the Folder Hierarchy button to the right of the Create Folder button. This will open a visualization of all of your Folders and you can navigate to any Folder from here:

Create A New Folder

Create a new Folder by clicking Create Folder to the upper right of a Templates table:

Add/Remove Templates From Folders

You can add or remove Templates from Folders from Template tables as well as when editing a Template.

From Templates tables

Click the checkbox to the left of the Template's row. Click the dropdown at the top of the table and select "Add to Folders" or "Remove from Folders". Select the Folders you would like to add or remove the Template from.

By doing this from a Templates table you can change the Folder for multiple Templates.

Note: If your selection includes a mix of items and folders, some bulk actions will not be available. For full access to all bulk options, select items only.

From HTML Template

Click "Edit Template Details", then click "Edit Folders & Sharing" to open sharing and folder settings.

In the modal that opens, you can add/remove Teams that the Template is shared with. Click "Select Folders" to change the Folders that the Template is in.

From Rich Text Template

Click "Edit Folders & Sharing"

In the modal that opens, you can add/remove Teams that the Template is shared with. Click "Select Folders" to change the Folders that the Template is in.

Sharing Your Folders With Teams

When creating a Folder, you can share it with teams. You can also hover over an existing folder, click the blue button on the right of the row to edit the folder to bring up the same popup, which is how you can remove sharing of that folder with Teams:

You can see which Teams a Folder is shared with from the Templates table:

You can see which Teams a Folder is shared with on the Folder's page:

When you share a Folder, that sharing will apply to all Sub-Folders. Sub-Folders cannot have different sharing settings than their parent Folder.
